there is a company we use for pro recordings, when they do the recording, it is broken into all recordings, grtg vs AA or CCR.
ON HOLD MARKETING if that is who you use, has a connector that marries up to the handset, bingo bongo bango really easy
there is no real step by step, i usually use the phone to program, if the agent has a phone, it has an extension. The agent number is different than the extension number.
the system versions are unfamiliar to me, i deal in names of product, your trouble sounds as if it is a call pilot 100 or 150 using 1.0-2.1 software, 3.1 and 3.0 upgrade solves this 99-100% of the time.

1st thing, set the operator status on answer lines to NO. set the reception/general phone to call fwd no answer to 4 rings, set transfer recall to 10 or 12, set call forward no answer to 6 rings on the sets.
This will allow unanswered calls on the lines to go to gen.mail on the 4th ring...
Set the number of ring to a value less than your CFNA, CFNA at reception should be 6 and the line seting in the CP at 4. don't forget to turn answer lines on and set the line value 157 which is likely your pilot DID.

the first one is recorded wrong, it should only say "hello and welcome to the ABC company, then the CCR path zero menu plays. Change your first greeting
