In a XP/NT/2000 network system, we use server controls and restrictions to lock opened files. I unfortunately don't know details or if it would work on a Mac server system.

Okay, here is a list of things to check/test. Just remember I'm throwing out everything, so some will be 'no duhs'.
Are the images sized properly. 100% of box size.
Use Utilities>Usage to see if the image needs to be updated.

Definately convert the PDFs to another format, be it Tiff or EPS. Then you can assure yourself that the images are grayscale. I use Illustrator if I need to keep the vector and type items editible or Photoshop if all I need is a raster file.

EPS and AI are both postscript images. and thus need a Postscript driver to print them correctly. What you are getting is the thumbnail or saved preview.

There are a couple of possibilities here. Let's start with possible reasons the file size outside of PS is larger that what it shows in PS.
Is the file flattened? Are there multiple layers? Are there any Alpha channels? Are there any paths? What color mode is being used? What DPI is being used...
