Edit the Memo form in the DB mtaforms.nsf and add disclaimer there (don't include carriage returns though)
This will add to SMTP mail.

I agree with Nanda that the user may well have changed their timezone format during e-mail creation, say from US to UK making a day value greater than 12 invalid for what was now the month field.

Couple of thoughts :-
Try using devices screen to run a manual format on one of the offending tapes then highlight the tape and see what stats and settings are given. Does it consider them to have the capacity they should.(also how many uses have they been thru - will be displayed here)...
