Upgrading IP Office

I have a question about IP Office upgrades. We've never attempted to upgrade one of our systems and not sure if I should do this (very little experience with phone system) or pay someone to do it. My biggest fear would be to lose any of the current config.

We have 5610SW IP Phones throughout our organization. We are attempting to try an Avaya 9620L. We've worked with tech support trying to get this phone working and he thinks it because we are at a low version of IP Office that we are unable to do so. From manager, I see we are at 5.0(8). I tried going through File - Advanced - Upgrade (It asks for system password) and this comes back with Failed - All selected units failed to transfer. It's very possible I'm not putting in the correct password and would need to call someone or reset it somehow. Is this an easy process? Thank you...
 
Probably a good thing it failed, there have been some major licence changes since R5 and if you had upgraded you probably would have found a load of phones became useless as they are now licenced on an individual basis unlike on R5 and prev :)

you most likely should call someone

the password for upgrade is different then the administrator passowrd

also manager needs to be upgraded first

also are going to need licensing if going to a major release (which you should)

there are other variables as well such as what control unit you have
