Recording Greetings on Embedded VM

Is it possible to record huntgroup mailbox custom greetings for out of hours greeting, you are in a queue, you are still in a queue with embedded voicemail? If so how?
When I press 3 I only get the option to record, listen & save the standard greeting. *4 is also not working at any point whilst in voicemail even though voicemail help is ticked on for all mailboxes.
Any help would be appreciated.
 
Embedded Voicemail
Embedded Voicemail does not include any default announcement or method for recording an announcement. The Record Message short code feature is provided to allow the recording of announcements. The telephone number field of short codes using this feature requires the extension number followed by either ".1" for announcement 1 or ".2" for announcement 2. For example, for extension number 300, the short codes *1N# | Record Message | N".1" and *2N# | Record Message | N".2" could be used to allow recording of the announcements by dialing *1300# and *2300#.

Did you upgrade the prompts to match the system level? This could account for the help not working.

That helps for the queue & still in a queue announcements, thanks, but how do I record a greeting that will be used when an out of hours time profile is in play.
I'm trying to get get calls that go to a group's voicemail have a different greeting out of hours as to what they would get during hours, as is possible with Lite & Pro. Is this an option with embedded?
 
My system is on 4.2(4) and according to the help document, embedded cards are supplied with the necessary prompt files pre-installed for software 3.0 & higher so I have not upgraded the prompts.
 
first you should upgrade propmts to 4.0 and then 4.2.

Then make shorcode - example:
*71300 (300 is hunt group number)
Voicemail collect
300

In User tab, SourceNumber insert H<hunt gruop name> i.e. HSales which has ext. number 300.
Only this user can access the HG voicemail.

Merge configuration.

To enter HG voicemail, press *71300, then press 3 to edit your greeting. You'll hear prompts what options you have...
 
I currently have the shortcode:

Which allows any user access into any mailbox so long as they have entered the correct accesscode.
Pressing 3 does not give the option of recording anything other than the standard greeting. As far as I can see Avaya do not instruct on upgrading prompts on systems above 3.0
If the upgrade is definitely needed to get the functionality of recording an out of hours greeting, should Avaya not document it somewhere, or have I missed it? - totally possible

Upgrading Prompts


For IP Office 3.0 and higher, Embedded Voicemail memory cards are supplied with the necessary prompt files pre-installed. Previous releases required that the prompts be initially transferred using TFTP from a PC running IP Office Manager. All the prompts for Embedded Voicemail can be found in the LVMSound folder on the IP Office Administrator Applications CD. There are two sets, one for compressed memory cards in the G723 Files folder, and one for uncompressed memory cards in the G711 Files folder. Each set contains a folder for each supported language.

• IP Office Small Office Edition - Compressed Prompts
The sub-folders in LVMSound/G723 Files should be copied to LVMAIL on the memory card.

• IP406 V2/IP500 - Uncompressed Prompts
The sub-folders in LVMSound/G711 Files should be copied to LVMAIL on the memory card.



Extracting the Prompt Files

1. This process requires a temporary folder on the PC to which files can be copied. It also requires an application which can open and extract the contents of a .zip file.

2. First check that the IP Office system has been upgraded to the expected level of IP Office core software.

3. Insert the CD or DVD on which the IP Office Administration suite was provided. Cancel the auto-installation process if it starts.

4. Locate the folder LVMSOUND. Open either the G711 Files (IP460 V2 and IP500) folder or G723 Files (Small Office Edition) folder and copy the zip file within that folder to a location on the PC's own hard disk.

5. Using a suitable application, open the zip file and extract the files contained within it. Ensure that you extract the files including their file structure which should show a folder for each supported language.



Transferring Prompt Files Using TFTP

1. Extract the set of prompt files to a temporary location on your PC as detailed above.

2. Start IP Office Manager and receive the IP Office configuration.

3. Display the System configuration form.

4. Click the System tab.

5. In the File Writer IP Address box, type the IP address of the PC that you are using for the file transfer.

6. Click to send this configuration back to the control unit and allow it to reboot.

7. Open a Command prompt window.

8. Type the CD drive letter and press Enter, for example enter D:

9. Type cd LVMSOUND and press Enter.

10. The next step depends on the IP Office control unit type:

• For an IP406 V2 or IP500 control unit:

1. Type cd G711 Files and press Enter.

2. Type send711 followed by the IP Office's LAN1 IP address,for example send711 192.168.42.1. The batch file will start transferring all the necessary folders and prompt files. The whole process of transferring the prompt files can take up to 40 minutes.

• For a Small Office Edition control unit:

1. Type cd G723 Files and press Enter.

2. Type send723 followed by the IP Office's LAN1 IP address,for example send723 192.168.42.1. The batch file will start transferring all the necessary folders and prompt files. The whole process of transferring the prompt files can take up to 40 minutes.

11. When all the files have been transferred, close the Command prompt window.

12. If this upgrading of the prompts was performed as part of the first time installation of Embedded Voicemail, proceed to System Configuration to enable the use of Embedded Voicemail by the IP Office system.

13. Restart the IP Office control unit by removing and then reapplying power.

14. When the IP Office has restarted, wait approximately 10 minutes while it scans the new prompts that are available.

15. The IP Office Monitor application can be used to show this activity. For more information, see Monitoring Embedded Voicemail.

16. Test Embedded Voicemail operation by dialing *17 at an extension. Embedded Voicemail should answer and start to give you prompts.
 
That is the exact excerpt I have been referring to where the first line states "For IP Office 3.0 and higher, Embedded Voicemail memory cards are supplied with the necessary prompt files pre-installed. Previous releases required that the prompts be initially transferred..."

Does this not mean that systems using software 3.0 or above do NOT need prompts upgrading??
 
you have R4.2, Embed. VM card are supplied with R3.2 (i think) so you need to upgrade voicemail prompts :)
 
pre-3.0 you got no prompts. Now you get some prompts, but they vary according to how old the card is. Safest course of action with is to add the prompts.
 
I've upgraded the prompts but still have no option to record an out of hours greeting for a group mailbox. All I get when I press 3 is the options to hear, change and save the greeting message. Any suggestions?
