How can I move an extension to a new phone?

I lack knowledge about the software. We need to transfer an extension to a new phone, but there's no patch panel for the phone system. My understanding is limited to it being connected to the Totel Access 908E, and the software in use is Business Element Manager. I took over this system from the previous IT administrator. I reviewed the documentation, which includes the steps below, but the IP Sets tab wouldn’t launch. How can I proceed with this?

he Business Element Manager, go to Configuration > Resources > Telephony
Resources.
2 On the Modules panel, select IP Sets.
3 Select the IP Terminal Details tab.
4 Select the DN that you want to deregister and click the Deregister button.
5 Disconnect the network connection and the power connection from the telephone
 
I have the new phone plugged into the network too. How can I locate it based off a mac number and assign an extension to that?
 
Let's start at the beginning.

It sounds as if you have a BCM phone system?.
What does it say on the phone system?
BCM 50, 450, 400 etc?.

At the phone end, look on the back of the phone and tell us the model number. It's probably an IP set such as a I2002, 2004, 1140e etc.

If its something like M7310 etc, then it's probably a digital wired set that ends up on a patching panel.
At the phone end with the handset down, press the feature key followed by *0 to get the key enquiry function.

Then press the DN key to list the extension number. Now press the # key to view the port number.

Post all the questions here and we can start to work out what type of phone and connection you have.

Phones systems and IP sets use "network switches" like any other device.
Station cables and Switches use patch panels via Patch Cables.

The Adtran box maybe used for the PRI so you would have 2 network cables attached to the BCM and/or Exp cabinet

Are you replacing a defective phone or has the user relocated to another office? or other?

What BCM version? 50 or 450
What release software is it if known, Rel or R: 1, 2, 3, 5, 6, or post us the "Sys Software Version" under Configuration > System > Identification
What version BEM are you using? go to About
What version Java are you using?
---Go to Java Console / Update - see if it Auto Updates box is check or not
---Go to Java Console / Java / View - List the product ID and the Architecture

Good point, I only thought it was an IP set based on the instruction Jim posted, but perhaps it could be the wrong set of instructions.

In this case to verify, going to Configuration > System > Telephony > Sets > Active Sets to verify what sets are on the system.
 
Referring to Curlycord's helpful reply, it might be an idea to post some photos as they would provide valuable information in figuring out your query.

If it was a case of swapping over two extensions with each other, and that you hadn't got any patching panel or knowledge on where it is or how it's labelled etc, then the BCM extension relocation feature could be turned on via Element Manager.

You haven't specified as Curlycord had mentioned if you are moving an extension to a previously used socket or a new area.

Yes, replacing a defective phone and the user in the same spot. Sorry for being rude. i'll gather the requested information. Sorry again for that.

I can see the list of extensions on the active sets page. Regarding the line assignment, does that mean any phone with that assigned line will be able to swap phones and work without needing to remove the extension?

Thanks for the info!
Well the good news is you have Release 6, the latest & last.
Patches that you should have/installed are System 022, Desktop 005, SAMBA 136-1, UTPS 138-1.

Your BEM however is out of date so download this one and install, this may help with the blank portions not loading.

Java 1.6 is way out of date, maybe because you are using a laptop specifically for the BCM?
You can leave if for now but if you upgrade to the latest in future or/and with Win 10/11, then you need to do a security file fix in Java noted here in the FAQ's using option 1.

Since it's a defective phone then you need to go to the place you cannot see that you mentioned in your first post.
Select the phone to be replaced and de-register, then boot up the new phone and select the same DN as the de-registered one.

You could also, if enough keycodes is to boot up the new phone as a different DN, then go to Dialing Plan/General and "Change DN", but it's best to keep the registration list clean.

Digital phones are different...
With Set Relocation OFF (DN stays with the jack) - swap out the phone
With Set Relocation ON (DN stays with the phone) - unplug faulty phone and replace it with a phone that has never been on the system before, it will take over the DN & programming.

So, start with the update BEM and see how that goes.

The thing is, I don't know if this will affect anyone else. Unfortunately, the previous IT guy who managed the system has passed away, so I don't know if that will cause any issues. I can try updating it. Thank you again.
