I am able to add the audio file on SD card . after adding i cannot see on the list in recording name option. i have reboot the PBX. waited for long time. do we need to do anything after adding audio file through embedded system.

the below whole step i did. do i need to do anything apart from that.
Converting the Pre-Recorded File
1. Start IP Office Manager.
2. Select File | Advanced | LVM Greeting Utility. The utility menu appears.
3. Click the à browse button on the Input File line and select the source .wav file.
4. Click the à browse button on the Output File line. Browse to the folder into which you want the converted file placed.
Enter a file name with the suffix .c11 for an IP500 V2 file or .c23 for an IP500 file. Enter a name that clearly identifies the files usage, for example Extn210Greeting.c11.
Click Save.
Click on Output File Type and select the type of prompt file you want created.
In the User Extension field enter the name of the user or hunt group. Ensure that the name matches that set in the IP Office configuration.
For IP500 V2 systems leave the Format set to G711. For IP500 systems set the Format to G723.
Click OK. Note that this button is greyed out if any of the required fields have not been set.
Change the file extension of the new file from .c11 or .c23 to .clp.
Uploading the Converted Files to Embedded Voicemail
Start IP Office Manager.
Select File | Advanced | Embedded File Managementà .
Select the IP Office system and click OK.
Enter the appropriate user name and password for configuration access to the system and click OK.
The embedded file management window appears.
Click System SD | DYNAMIC | LVMAIL for an IP500 V2 or LVMAIL for an IP500.
Click File | Upload Fileà .
Select the file or files to upload and click Open.

In the section were your Recording Name drop down shows as None.
You need to MANUALLY TYPE IN THE RECORDING NAME.

It does not show up in this drop down box.

Only after you have typed it in ,it will been seen in the drop down box .

So if your file is called DayAnswer1
Then type in the letters DayAnswer1

Then after a short while you will hear the file playing

Can you also help me to add the voice on the end on a call. like " Sorry we are unable to answer your call at this moment. You are requested to send us an email on info@*****.com or leave a message after the beep.
 
That will depend on how you are using your options, actions,to route the call

If you are using a hunt group then just record the hunt group mailbox to say that.
Remember to tick the voicemail tab and set your timer.

Do a google search as there are numerous way of achieving this.
 
You should probably check the box to 'Enable Local Recording' Then dial the *8401 and record the greeting.

Yes but what do you mean by the end of the call.

We don’t know what your options point to.

How have you recorded your call message
And where is it saved to.




 
What i mean is if somebody call on our number. and if nobody is answering the call then on the end of ringing i want to add the audio that " Sorry we are unable to answer your call at this moment. You are requested to send us an email on info@*****.com or leave a message after the beep
 
Because you still haven’t said how your call is routed I will assume you are using the AutoAttentant to answer the call

I will also assume you are using some options to direct the call

Press 1 ....user or Group
Press 2 .....user or group

So if it’s a group record the message in the group mailbox.

If you want call queuing..sorry for delay in answering your we will be with you shortly.
Then enable Anouncements in the group you are using and record them to suit.

Announcement 1 sorry for the delay in answering your call all our agents are busy.

Announcement 2
Then set your mailbox and queue times so as call will go into the mailbox after the second announcement

This is just an example of using queuing on groups

Recording queue announcement *91 ,group number ,1 for announcement 1
Recording queue announcement *92 ,group number ,2 for announcement 2

This may be more complicated than what you want

But use the help files on the Ipo for more info
 
Hello Snowman,

Yes i am using Auto attend on the first of the call but not using press 1 for sales press 2 for technical like that. we just want to inform customers calling on our number that u called on the right number by saying " welcome to ikon. our office hrs are 9 am to 6 pm"

This is working. so apart from this i want to add the sorry msg on the end of the ring.

So let me try thi announcement. from where we will do this option.
 
Also need one more help. we has one other company. on their PBX auto attend already setup long time before.i just download their audio for the test purpose on our PBX. as per the steps u mentioned i was able to make it ready. now i have managed to get one audio from google text to speech option. then i tried to convert it to .wav format. then when i am adding this to the LMV utility for conversion i am getting error message like check the output log file. support me how to resolve this please.
 
You want 8kHz, 16 bit mono. Import the file into Audacity, set the Project Rate (Hz) in the lower left hand corner to 8000, then export it. NOW convert it and upload it.

Look at the error file and it will tell you what is wrong.

It may not be in the correct formatt..even though you think it is...

Log file is located in programme files-avaya-ipoffice-manager-LVMGreeting--output

Open it and see what the error is.

One other thing...you need to run the Manager programme as ADMINISTRATOR.
OTHERWISE you could get error on uploading the file
 
hello snowman,

I am able to convert file and its working fine now. but its saying two times. is there any way to play only one time then after ring to the extention.

Also when i convert file the clarity went very bad. is there any application which can make good clarity

That depends on we’re you put the message.

I normally just use the menu option and ignore the morning,afternoon evening.
If you put the message in there it will play as many times you have allocated it.


This is only a basic Auto Attentant

You could try and use a group as the Attendant and overflow to another Attendant with a different announcement.

To be honest I don’t really know .
 
This seems to be overly complex for what you are looking to do to be honest.

This is what I suggest:
Route calls to an auto attendant with no actions and a timeout of 1 second.
Use the pre-recorded greeting for the menu options (remove the ALLDAY time profiles from the AA they are unneeded).
Set the group you want to ring as the fallback destination.
Record the group's voicemail greeting as the "Sorry we are unable to answer your call at this moment. You are requested to send us an email on info@*****.com or leave a message after the beep".

Now you have the call flow you are looking for.

The truth is just an excuse for lack of imagination.
