Word and Forms Help please

About a year ago I created a form for people in house to use to help speed up large document creation. I protected the document and all worked fine. About a mont ago one of the directors needed to make an amendment as I was busy I stupidly gave them the unprotect password. It now doesnt work I would restore back to a good copy but I am not sure how to create the document now and just needed a little advise. The Client name field works fine but the yearend field doesnt and there is no difference in setup between them.

Basically its a 50 page document with a Clientname and Yearend field at the top.

I had the document setup with a {formtext} field named clientname and yearend respectivley. I then ensured Fill in enabled and calclate on exit were selected.

In the correct areas on each of the 49 remaining pages I ensured I had a field tied into the fields on the first page. Now this is where it hazy I cant remeber if the 49 fields are bookmarks. Basically I want the data in the fields on page 1 to filter down. How do i go about this please.

Oh yes forgot to mention

When I type text in the yearend field the fields on the other pages do not update. If I right mouse click the yearend field on each page and select Update Field it pulls the data in. Why is it not autoupdating. I am using Word 2003 on Windows Xp sp2.

Have the names of the form fields been changed?

Did he reprotect the file in forms?

Were you running macros on exit of the formfields and are they still enabled?

Hi Ck thanks for the quick response.
Teh form was not reprotected I have now done this and double checked the form field name and it is still okay. If I click right mouse click the field on 2 through 50 and click update field it brings the data in. Its just not doing it automatically for some reason.

I found this and if you click Print preview it seems to force the document to update!! It worked anyway I found the remedy here


"In simple Word documents after a variable is changed a user action is usually required in order of fields to be updated and display accurate results . There are several methods that users may employ to update fields.

Update fields individually by mouse right clicking on the field and selecting "update field"
Update fields individually by selecting the field and pressing F9
Update fields globally by selecting all text (including fields) with (CTRL+a) and pressing F9
Update fields globally at print execution using the user preference File>Print>Options> Printing Options>Update Fields
Update fields globally by shifting to and from "Print Preview." (File>PrintPreview)
Note: Print options must be set to update fields
Update fields with a macro. A macro for updating fields in a document is provided below "

make sure that you can tab out of the year end to run the calculate on exit.

In answer to your question about what the 49 fields are/were, they would be REF fields, or yet more formfields, pointing to a bookmark maintained by the Yearend formfield. If you're using formfields to replicate the data from your Yearend formfield, I'd suggest replacing them with REF fields, which provide a more reliable way to replicate formfield values.

Your problem description sounds like:
. the fields that won't update automatically are in an unprotected section (evidenced by the fact you can select them) and
. the Yearend formfield's 'calclate on exit' property has been disabled (evidenced by the fact the dependent fields don't update).
