Way too many records

Very strange: I'm using CR11 and my data source is "File System Data" and I have 3 data sources, each is a network folder with anywhere from 20 to 150 files in it. The settings on each folder have a file mask of "*.tif" and the number of subdirectories is 0, and include empty directories is false.

So I'm basically just giving a distinct count of the number of files in each folder.

However, the report takes forever to run and the number of records it's reading is 792,836. What are all these records? Is it somehow reading the entire server or something? It shouldn't have more than a few hundered records. Any ideas why this is happening?

Crystal does not affect folder settings. You can limit the records returned in crystal with a record selection formula. Please explain in detail what you have done IN CRYSTAL to limit your result data set.

Crystal works by creating 'rows', detail lines that include each unique combination of the records you are selecting. If you are accessing accounts and their transactions, it is easy to get a count of transactions when you were trying to count accounts. Is something similar happening here?

One solution is to use Distinct Count. But you say access is also slow. Maybe you should consider separating the three sources, getting one in the main report and the other two in subreports. Shared Variables would allow a total count: use SEARCH to get details on Shared Variables.

Yes, thanks! It does seem to be creating "rows" of information, because the totals and summary formulas are correct, that's not the problem. But when you look at all the different fields it has available for each folder (all the folder settings and permissions are fields) I guess it's storing that information as records, so the record count is very high.

As for why it was so slow, I don't know. Perhaps the folders I was querying were being used by someone else at the same time, because I deleted the data source, and re-added them, and while the record count is still high, it runs much faster now.

Also, the folder mask: When you add a new folder, there are 3 settings: 1) include empty directories (Y/N) 2) include subdirectories and how many levels to go down and 3) file mask of *.* so you can only look at files of a certain type. In my case I'm only looking for tif images, so I use a *.tif mask
