Undeliverable Messages when responding to meeting requests

I have two users in particular who when responded to via meeting request, receive undeliverable messages. The messages indicate that the response is undeliverable to another person. That person once being the secretary for these individuals who are no longer users and or have mail boxes on the system. Were these users once setup as delegates for the primary users? How do I eliminate these undeliverable messages.

Thanks,
Jeremy

Hey,
If I understand properly, which I rarely do.

If User1 requests a meeting User2 responds but User2 receives a NDR from User3, who no longer has a mailbox?

You've answered you own question here. I'd guess that either they were set up as delegates / alternative recipient / distribution list. I would go into the profile of the User creating the NDR and see if anything is still there.

Not much help. But it'll be in there somewhere.

I had the same problem a whilst back and eventually found they were listed under the delegates option in Outlook.

I've checked that option from the actual outlook client for that particular user. There are in fact no delegates specified and I've looked at the permissions for his calendar folder and removed any removed the custom permission that was set and is now the "default none" for the calendar. Very strange, unless there is another suggestion I'm looking to reinstall the outlook client on his computer.

Thanks,
Jeremy

Did you check on the Exchange server? For Delegates, Your distrubution lists remember to check the Resources profiles too.

Let us know,

Iain

I'm not sure what you mean by Resources profiles but I did check the permissions on each user's profile on the server to see if anything existed. No such luck. Again the undeliverable messages are for individuals who no longer work at the company and who no longer have accounts on the system.

Thanks,
Jeremy

Every resource lets say Meeting Room 1 has a profile / mailbox on the Exchange server. Otherwise how is it booked?

There is an excellant FAQ on resource creation;
faq10-894

Now have a read on how to create a resource then kind of Reverse engineer it. Somewhere there will be a reference to the Ex-Employees. And since they're not referenced in any existing Properties of employees and they're not in any Distrabution Lists the only place left is in the Recource Properties, perhaps hidden in the rules?

Let me know how you get on,

Iain

Did anyone ever find a solution for this problem?

I'm having the exact problem and none of the above suggestions have helped.

I even recreated the invalid user account and the messages are still bouncing.

Thanks,
Michelle

I've had this problem also but it was a "delgates" problem in outlook too. I'm not sure how it could be anything but a delegate problem but who knows.

I had this exact same problem as jdonalds, although with Exchange 2003 and Outlook 2003. I found the same question from different people on different message boards, but no answers. After much looking around I just came up with a kludge fix that seemed to work in my case. The setting (or rule) appears to be stored on the Exchange Server but is configured in Outlook. So, on the executive's Outlook client (or login as the executive and configure Outlook), go to Tools | Options | Delegates.

The 2 executives that I had with this problem had no delegates listed, but the checkbox labled "Send meeting requests and responses only to my delegates, not to me" was checked and grayed out so I could not uncheck it. I then added a temporary delegate, which then enabled the checkbox. I cleared the checkbox, and then deleted the temporary delegate and clicked Apply. Now I don't get the undeliverable message anymore.

What I don't know, is what will happen if I add a real delegate. Will Exchange start trying to send the meeting invitation to the deleted user again? Someone else can give that a try and let us know.

Cheers,
bj
