Unable to program or edit system directory

Hi,
Recently become the admin on a site with a Merlin system, I have located where the speed dial numbers are kept in the admin phone, however can not figure out how to edit an existing number or create a new number and it is crucial that I get this done.. helllllp!
 
yes, that is what I am talking about, however.. I don't understand if I should be able to do this from the main admin phone or if I need some sort of console. every now and again I come across something that says to do something with a shift or alt or something.. that a phone does not have.. I hate to sound stupid, but seriously, I am 100% lost with this. and I need to program an external phone number into our phone system for transfer. a system admin (2 administrators ago) was able to do this, the last administrator told me that he had no idea.
 
You can program from the System Programming phone, which is usually the Operator's phone, and will be an MLX-20L or a 4424-LD+ (both have large displays, and when you press the "menu" button, you will find 3 choices down the right hand side, including "System Programming"

Alternatively, you can get WinSPM software, load it on a PC, and use a serial port (with the correct 355A adapter and wiring to the phone system), or a modem to connect to the phone system.

The WinSPM software emulates the console phone for most programming tasks, although there is a "quick access" tab for speed dial, which you would find easy to use.
