Switching User ID's

I have one workstation (R5.0.8) that is shared by 3 users (1st, 2nd & 3rd shift supervisors). Each user has a different ID file and they switch ID's upon the start of their shift but when they click on Mail from the Welcome Page they receive msg "You are not authorized to access that database". We get around the error by also changing the entry for the mail file by "Edit Current / Mail / Mail file" . Any suggestions to get around this two step process ?

Have you checked out the location document,
Go to Bottom right hand corner, where it says Office, click on it and select Edit Current then you will need to change the home mail server and mail file to show which of the users is using Notes at that time..

This must be done each time or create 3 different Location docs and call them by the users name, then when they have swtiched ID they just have to choose their location

Haven't worked with R5 but in 4x we just put all the mailboxes of the users that are going to share a PC on the workspace. Actually we put the Db's that all use on one tab and personal db's on different tabs for each person. That way regardless of the locdoc, each person can get into their mailbox. All they have to do is switch Id's.
 
I would go with the multiple location documents (File...Mobile...Locations). You can select (Click once) on 'Office', or whichever location is your default, then Ctrl-c to copy and Ctrl-v to paste. Select the duplicate location document and click "Edit Location".

As already mentioned you can change the "Location name:", e.g. John Smith (Network); the "Home/mail server:" in the Servers tab; the "Mail file:" on the Mail tab; and then on the Advanced tab click the flashlight icon under "User ID to switch to:" and browse and select that users id file.

After setting up each location document, whenever the location is changed, e.g. from 'John Smith (Network)' to 'Bill Jones (Network)', the system will automatically prompt for Bill Jones' Notes password.

One last suggestion - in File...Preferences...User Preferences...Basics Tab - Startup Options - check the box "Prompt for location". That way, if the 1st shift user closes Notes, the 2nd shift user launches it; a dialog box will pop up with a list of all the locations; and when the user selects the appropriate location they will be prompted for their own password. The dialog box will appear each time Notes is launched. Otherwise, if the 1st shift user does not close Notes, when the 2nd shift user comes in all he/she has to do is switch locations and they will be prompted for their own password.
