I am setting up 4 5420 handsets to show all 3 analog lines on all sets lines 1 thru 3 so that calls can be placed on hold and picked up from any handset. The manager wants it this way and they do not want to use the park button. She just wants to go to any handset and pick up the call on hold.

I was able to show the line appearance but am now not able to dial 9 for internal calls. as soon as I lift the handset I get an outside analog line instead of an internal dial tone. How would I be able to first get the usual internal dial tone so I can dial internal extension numbers or 9 for an outside line?

Thank you

I don't recommend it at all, but....

Remove all of the buttons. Assign Line 1, 2, and 3, and then 2 Call Appearances. Label the CA buttons as Intercom. The automatic line select will give them the lines when they go off hook to make an outside call, no need to dial 9 first. If they want to call an internal extension, press the "Intercom" button first.

The problem comes in when you try to receive incoming calls and transfer them around between extensions.

Assign the lines with Immediate Ring, put them into the Main hunt group, but UNcheck them. Assign a single line port, and check that one. This will keep the incoming calls from ringing on the "Intercom" call appearance.

Convince them to NOT use the Transfer button, but put calls on Hold, and use "Intercom" to let other users know which line to pickup.

I have set up a PARK button for them and asked them to use this but they say that when someone answers a new call on ext-150 and then another call comes in and they place that call on hold and get tied up and can't get back to the other line. They wave at someone else in the office to help but that call is stuck on their ext. 150 and ext-151, 152, 153 can;t pick up the call. Is there a way to get that call from ext-150 that would work better? They were use to an older style key system that just showed all the lines on all the sets. This is an apartment leasing office so everyone helps everyone else out at all of the desks. One the first of the month they get real busy.

What would you suggest

You need a park for every CA. I may be missing something but park is the way to go. However, the depths of human stubbornness are well known to me. To emulate a key system:

1) get a used 5410 phone or any phone that has enough buttons for a CA for each of your lines. Call it the phantom extension.
2) change your ICR to ring directly to that extension only. Turn down the ringer volume.
3) for every CA on the phantom extension, create a bridged appearance on every other extension
4) add 2 CA buttons on the other extensions. These are needed by the IPO to transfer calls.
5) for each user set "cannot be intruded" to off and "can intrude" to on under the user settings.

You now will have BAs that are identical on all phones. So a user can say "pick up line 3" and they can press that BA and grab the line. When a call comes in it will alert to the phantom and also to every corresponding BA on ever assigned extension. It does work, as Tommy helped me hammer it out for a really hard core site last month. And it will only cost you 50 bucks or so.

I don't really use Park but as far as I know the call will be put in the park slot same as the extension who parks it if you don't assign a park slot number to the park button. So to have common Park slots create three park button with 1, 2 and 3 in the phone number field of that button. Because these park slots are not bound to specific users everyone should be able to use them.

Correct me if I am wrong.

PMCOOK sounds good I understand the concept. I will give it a try. Could I create a virtual extension number without actually connecting a digital set or not plug the set into the port?

IP Office is ot a key System

Do not try to use it like one
DO NOT USE LINE PPERANCE KEYS

how many times does this recomendation eend to be made ?

just add park keys & use the sytem as intended (& that means park buttons for system wide hold).
if configured sensibly after a few weeks the manager will than you for giveing them a far more flexible & usable system

Do things on the cheap & it will cost you dear

I used line appearances once and had some trouble with user's call forwarding... I will never do it anymore.

But here in Europe it is easier to convince the customers as in the 'modern' world (USA) ;)

The boss wants it this way, not much choice in the matter. PMCOOK's method works just fine, exactly what they wanted and they are very happy now. Thank you PMCOOK for your help!

I gave you one as anyone else doesn't because it seemed to be very helpfull
