Report on multiple projects

Does anyone know how to create a report for two weeks out on multiple projects. I set up each house that I build as a separate project but I use the same subcontractor crews for all of the houses. I'm building about 12 houses on any given day. I want to make sure that I am not over-allocating these crews and I also want to see an overview for the next two weeks. I'm brand new to project. I'm trying like heck to get rid of my three ring binder which I use to manage my projects currently. If anyone has any ideas I would appreciate it.

How many tasks in a project? I'm asking because your operation might be better handled by putting everything into a single project plan.

Let's assume that isn't feasible (but I still want to know your answer).

Create a blank project (call it "Everything"). Click on Insert | Project and insert the first project. Repeat for all projects.

Now you can view everything for all projects. View | Resource Usage and you'll see your resources. Even if you've given them the same names, they will still appear as separate resources. In other words, assume that you used "ABC Plumbing" in three different projects and, in every case, it's the same sub-contractor. When you go into View | Resource Usage you'll see three entries for "ABC Plumbing".

The way to get around that is to use a resource pool or ... as I suggested at the beginning ... to put everything into one large plan (an approach that works well if only one person is generally responsible for the plan -- and your question suggests that this is the case).

We have a couple of dozen tasks for each project. I will give this a try. I found an article by Microsoft that said to do the same thing but they use the "Window" drop down list instead of the insert feature. I think it's the same thing, though. We are building houses so we are trying to keep everything in separate projects. Who knows? Once we put everything into a master project we may just keep working on it that way. Thanks for the help.

I was just wondering if you solved your problem. I am a homebuilder in Toledo, OH and I am having the same problem. Currently have 42 homes under construction and all are entered into Project 2000 using a Resource Pool. I have created a master project (inserted all individual projects into one master) and would like to know where my scheduling conflicts occur. But so far have been unable to get a report out of the system that will identify the problem areas. Would appreciate any help or insights on how you resolved your problems. Thanks Doug Holdridge

If you want to utilize the same resource (manpower) pool, the master project is definitely the way to go.

With both of you doing houses, set up one sked as a master template, and copy that for new work.

If you've got the resources in right, balancing resources or rebaselining should schedule them correctly. But this ain't necessarily easy. Putting in resources to achieve this should be simple, but I don't find it to be so.

And, I've not yet figured out how to print out a resource graph that clearly and quickly shows me what's going on. We're not doing our resources like that, and I haven't had time to play with it. If you figure out more, please come back and tell us.

Have you solved the problem yet?

I know this is an old thread, but I'm a builder using Project. We've got 30-35 going at one time, so I'm trying to find over-allocated resources. Also want to find an easy way to notify subs of upcoming work. I'm currently email copies of the entire schedule to every sub. It works, but isn't the best solution. Please reply or email me directly.
