Removing one user yet still being able to access mail

We have had several employees leave the company lately with rather large mailboxes (1.5 gig+ each). I have to remove these accounts from the server to save space yet at the same time have someway to access individual emails if required. We are running Exchange 2000 and the clients are running Outlook 2002.

Is converting them to a PST file the best way to do this? I was thinking of putting the PST files on a large hard drive on a machine with Outlook that will open and browse the emails without tying up server space. Workstation hard drives are a lot cheaper (and bigger) than our server drives.

Definately a job for PST's. You might even want to split up the PST's and just store the info on CD's instead of hard drives.

Just as I suspected. And the ultimate goal was to store them on CD's. Problem is I am not sure how to break them down. Is there is a way to break them into multiple PST's?

When you go through the import/export wizard you can select certain mailboxes (inbox, outbox, deleted items etc...)to save to s pst file. You dont have to select the whole mailbox.

Ok thanks. So what I have to do is modify the individual folders so that they are less than 640 Meg in size each. Right now some of them are larger.

Or, you could open the PST in an Outlook then use archive to create multiple PST's based upon year or specific folders.

To access there accounts: There are a few ways to do this.
1. click on file | open | other users foler | enter the wmployees name and which mailbox you want to view.

2. Open outlook | tools | options | mailsetup | select view or change existing email accounts | next | highlight ms exhange server | click change | more settings | advanced tab | click add and enter the name of the employees whos mailbox you wish to view. Then go back to outlook and go through the import and export wizard and select whatever mailboxes you wish to backup.

You have to have the appropiate access in order to view other employees mailboxes.

In the long run, you'll spend a lot of $$$ in labor trying to parse out the PSTs to fit on a CD. Have you thought of buying DVD burner to put the PSTs on? I just check buy.com and they have many for < $200.
