I was wondering if/how it is possible to program aloha to deal with refunds of retail goods. If possible I would also like to know how to put the returned goods back onto a gift card or a credit card. The current system the cashiers are using allows them only to refund things purchased the same shift by simply voiding the transaction; a situation I am frankly not very happy with. I am new to POS so take it easy on me.

Like most hospitality packages when placed in a situation w/ any thing more than "minimal" retail, Aloha will fail miserably. That explains why you are unhappy- it simply isn't designed for that.

We support and sell both environments where I work, and they have completely different needs, even though they are both essentially "cash registers".

Basically, a system like Aloha is going to be able to deal with stuff like tobacco, and some promotional items like hats and t-shirts... Stuff that isn't going to be returned or involved complicated scenarios that you are running into there.

Anyway, just a heads up that if you are planning to look into getting this system to do more and more, you are going to be more and more disappointed as time goes on.

You can reopen that servers check to refund something sold the same day, but again, this isn't a thorough way to address what you're asking (like if someone comes back tomorrow).

I don't understand the gift card, credit card part. If someone buys a hat today, pays with a CC. Tomorrow they return the hat. Why would you not just perform a return or void function (return preferred) of the hat and pay the negative balance out to the original credit card. I don't know how Aloha does gift cards but would it work any different? Just curious?

I have the same question. If someone buys a product today on their credit card and return it a couple of days later. How do I do a return and refund the credit card?
Thanks
Ron

Cash and credit card refunds can both be done in Aloha. The capability of this is based on access levels. Refunds work by ringing the item up as a negative... The ability to credit a gift card for a refund would depend on the gift card program being used.

Refunds and Voids in Aloha share the Void Reasons list (Maintenance/System/Void Reasons). A Void Reason has a check box "Return Voided Items To Inventory." You need to setup a void reason that does just that and it will work for either a same-day delete activity or a refund for a transaction from a prior day.

There is also an option under Store Settings/Printing/Check Style to "Print Refund Slip."

In Labor > Access Levels > Financial s tab don';t for get to set security rights for ‘Cash Refunds’ and ‘Non-Cash Refunds’ and 'CC Refunds" to the appropriate jobs. If you want to restrict refunds by access level, go to Store Settings and check "Allow Refund Orders, By Access Level"

In Tender Keys, check "Can Refund" for each payment key that you want to allow a refund on.

To complete a Refund (Table Service): Go to Functions/Financial and select REfund. Enter a Mgr # if prompted. Now key in or scan the items you want to refund. Everything you do will be the opposite of what it normally is. When done entering items, go to payments and either close to cash or the credit/gift card they originally purchased on. As a prior responder noted, the Gift Card is dependent on the Gift Card provider. Radiant eCards should not be an issue.
