Hi,
I am kind of new to EDI, I have a quick question. Are REF01 and REF02 fields part of the header record?

Can they be repeated in the same EDI document, for example on an 855 we are expected to send REF01 = IA, REF01 = KD and REF01 = IT with their respective REF02 segments.

I am a bit confused on this one

thanks

Dear Edgar,

REF Segment will be part of both Header and Detail (Yes it could be repeated in the same EDI document). You need to refer to the standards provided by your customer to verify the details on what they are looking for. check with the trading partner what version of the EDI standard and you could download them for your reference

Cheers

Anan,

thank you for your reply, that makes sense, I asked both my VAN and the company requesting the EDI to give me their guidelines, but in the document that they sent, it specifies that the only one of the REF segments they are sending is Mandatory, the others are optional, so I send my test and it fails because it says that it needs the other two fields. I am a bit confused by that.

below is what the REF specifications say on the 855 document

Segment: REF Reference Identification
Level: Heading
Usage: See below for Mandatory / Optional Usage
Purpose: To specify identifying information
Data Element Summary
Ref. Data
Des. Element Name Attributes
REF01 128 Reference Identification Qualifier ID 2/3
Usage/Notes: Code qualifying the Reference Identification

Mandatory IA Internal Supplier Number AN 8/8
Optional – Third Party PO only KD Brand Organization Code Value
Optional – Third Party PO only IT Customer Purchase Order Number

REF02 127 Reference Identification X AN 1/30
Refer to the above notes

So I send the IA and the appropriate REF02 and my test fails, a bit aggravated and confused
