Recipient Policy Question

I have a client who is trying to implement a corporate policy in an attempt to keep personal mail stores under control.

What he wants to do is:

Automatic Deletion of Inbox Emails – Any email located in any employee’s Inbox folder that is at least 6 months old will be automatically deleted by the system. These deleted emails will reside in the Deleted Items folder as is the case with any deleted email.


and

Automatic Deletion of Sent Items Emails - Any email located in any employee’s Sent Items folder that is at least 6 months old will be automatically deleted by the system. These deleted emails will reside in the Deleted Items folder as is the case with any deleted email.


I was under the assumption that a policy based on message age would permanently remove the message without moving it to deleted items.

Is what he proposing feasible?

1.right-click on the exisiting policy (or make a new one)
2. change property pages..
3. check the Mailbox manager settings

then go back to the policy, right-click-->properties--> Mailbox manager settings (tab)
when happy with the settings
Select server --> Right-click-->Properties --> Mailbox Management tab to schedule it... o
or
Right-Click on server ---> Start

OK...this is spiraling out of control on me.

Here is what the client wants set up now:

Email in Inbox, Sent Items, and Drafts older than 6 months gets moved to deleted items.

Items in deleted items are permanently deleted after 3 months.

Right now I have it set up that Inbox, Sent Items and Drafts are moved to Deleted Items after 6 months.

Deleted Items are permanently deleted after 9 months.

This is close, but not good enough. To his point..."what if I delete an email from a custom folder that is 10 months old? It will get deleted the next time the mmp is run, correct?" He wants emails such as these to remain in deleted items for 3 months.

Essentailly, what the customer requires (IMO) is the date\time stamp on the messages changed when they are deleted. Then I could create a policy that would run against the new time stamp.

Of course if there is a better solution out there (third party?), I would like to hear it. Changing the date/time stamp seems like it has the potential to create a poop storm.

Go into the Recipent Policies in the Exchange System Manager and create a new policy, a Mailbox Management Policy. Go ahead and customize it and apply it with a filter to just that user's box. You may need to create multiple policies to apply to get the results that you want.
