Purchase Order for Software Licenses

Hello group,

As we all know some software licenses have a maintenance fee that has to be paid every year. Right now we are using conventional purchase cycle to pay these fees every year. We first make a Purchasing Requisition that has to be released and then a Purchase Order that has to be released too. I have been asked to look another way to pay these fees, with less documents, is there some one doing this in a different way? Or someone have any idea?
