Hi. I'm taking a shot at posting this here because I have no idea where else to go. All our copiers are Xerox units, 95% of them are networked and used for printing as well. For all copying jobs (someone walks up to the unit), users have to enter a 4 digit code (referred to as budget code in our shop). Every month we have to get a count for all the codes, on all the machines. It's a long and frustrating process, especially when we have 2-3 sites.

I want a software solution so that I can sit at my computer and pull the counts from all the machines for all the different codes. My understanding is that Equitrac is one of those solutions but the process invovled just to get a trial license code is worst then selling your soul to get a new car.

I would like to know from you out there that might have a system in place to do what I need, if you have any suggestions. Thansk.
 
CentreWare IS should already be loaded on the server if you did a complete driver install. It is used for this very thing.You can monitor usage, and add\remove rights, etc. If you are the administrator, and can access the server, run the tutorials for info.
 
Thanks for your reply. Took me a while to figure out what you meant. I thought you were referring to CentreWare Web until I searched on Xerox' site for "centreware" and saw in the result "CentreWare Information System". This product is, basically, the built-in web server in their network enabled copiers. I use this frequently to update the address book info.

I went in the index and looked up "Billing and Counters". This is not giving me the information I need... unless I'm not looking in the right place. This is what I get:

It does not however provide me with the total counts per user codes, which is what I need.

 
I just found out why it might show differently for you. Our Xerox units don't have the "network accounting" software module... I'm assuming I wouldn't need a third party software if I had this module in the units. Investigating costs with Xerox...
 
You did not say what model your Xerox copiers are. The latest models will have the accounting package ability. Older ones may not. You are probably going the correct path by talking with Xerox for this one
 
We have multiple models in our fleet... DC 332ST, 432ST, WCP 55, 75... We are now getting a WCP C3545 and in the process of getting the contract finalized, we came down to what the mis-understanding was. Network Accounting enablement, also called the network kit, also called job based accounting. None of our B&W came with this optional machine software, which is why we can't do even the most basic job accounting with CentreWare IS.

Xerox has the software "Paperport" for free on their website, for their customers with network accounting enabled machines. Incidently, that software was made available by Equitrac, one of their partners. So with Paperport I'll be able to do exactly what I want in its most simplest form. After we get the new colour unit, I'll be able to demonstrate what network accounting can do, and it'll be easier to justify getting this "kit" for the rest of our fleet... altough the older machines might not work the same.

It was the reps job to figure this all out and sadly they didn't... which is why we're getting avery good deal on this new color unit!
