Preventing Mail Deletion

Hi,

Is there any way to do this?

I need to put some sort of policy in place, which will stop people from deleting mail.

This is because there are some dodgy emails going around. I have my suspicions but whenevr i check their mailboxes they are TOTALLY empty.

Would like to be able to check full mailboxes, so if there were a policy which would stop people being able to delete mail that would be great.

You are checking someone's email??
That is in direct violation of any rights of privacy, EVEN in your company, unless EVERYONE has SIGNED a document that they are aware AND agree!

For the rest, use journaling on the server.

marcs41 is correct. make certain that your company has a electonic mail - computer guide line doc signed by everyone. if they don't sign it, take thier keyboard away... all jokes aside, we had the same issue. i never found an attribute that could disable the recovery of delted items in outlook, thus decided to back up the store daily. sometimes at midday. granted our store is usually under 10 gigs, so it does not take too long to do an unverified backup to disk.

to recover the emails, we invested in ontrack's power controls. this tool should only be used by individuals that have been granted the right to view associates personal info. (like HR or VP's)

Hi... on another note...

Can anyone point to me to some sort of legal document regarding email privacy... I am in the UK!

I don't know about in the UK but here in the Philadelphia area e-mail privacy in the work place does not exist.

As stated in the case of Michael A. Smyth .VS. Pillsbury in 1996, the federal courts rulled that company email is not private. Since then case after case it has been ruled that employees have no right to expect their emails or other comapny files at work will be private. And in some cases (recently) courts have ruled that employers have a duty to monitor email if it is being used to defame or to create a discriminatory or hostile work environment.

But it is also advisable to have written policies stating that the company owns the technology systems and email is not privated and will be monitored.

I am not from Uk or US, but even common sense and decency will tell you it is NOT appropriate to read anyone's email, just like you would not be readig anyone's postal mail.

I myself have a hard time checking peoples emails and I fight it tooth and nail. It is unethical in my eyes thus I always make their managers check their email, and only if it has been approved by my manager.

I don't like it but it does make sense since in this day and age since companies are being held liable for what their employees say and do. And email is just another tool to send hate and discrimenating materials to others.

I agree 100%, but it does not justify reading them.
If you archive them, a company can always fall back on that and point out the offending person.

In the same analogy, a 'boss' would have to read all postal mail, faxes, SMS messages... that would be just plain ridiculous.

Your so right, I find it hard to believe anything justifies the loss of freedom, such as the right to privacy. But here they like to pass laws that uses hammers to put a noodle through a strainer. In other words they over react in the name of protecting the majority, though most of the majority do not realize what they are losing.

But this is a conversation of another forum.
