Is there a way to issue P.O.s which never use PPV accounts?
We issue a lot of PO's for miscellaneous material. There is no standard for these items. There fore, they all have a PPV and this amount ends up in the PPV account. At month end, we have to make manual entries to clean it up.
 
If you are buying items not in your item master, I would assume this is a special purchase of some type. Does you purchasing agent not know what this will cost? If they do and take the time to enter the proper cost there will never be a variance and this will never be an issue.

If the cost is to be determined, I would assume this would be known at least before the item is shipped to you. If so, then simply change the PO before you receive it to the proper cost. Then you won't get a variance.

Alternatively do you own flexibility? If so it should be possible to write a program that will conditionally - based on if the item ordered is not in your item master - make the variance account equal to the account where you are charging the item purchased. The variance and main accounts are stored on the POORDLIN_SQL table.

We use miscellaneous (misc1, misc2, -> misc99) as the part number for non inventory purchases. the Misc P.N. will be used many times.
I know the item/location will show $00.00 as the standard cost. Does this come into play in calculating the PPV?
We are also concerned how this interacts with the PPV Suspense account.


We do not use any add on software, such as Flexibility
 
For our non inventory items we created material/cost types with the same PPV code as inventory asset code. So our part number *2000 is for office supply *2001 is for factory supply *2002 is for R & D etc. This way any PPV entries are made to the proper account. If we have a PO with more than one item - we reuse the number - just change the description.

Flexibility is another Macola module, not an "add on" piece of software.

Thanks for the input. I knew flexibility was Macola, just used the wrong words.
