Outlook 2000 getting errors on Retrieving Email

Strange thing happens. We have Outlook set to retrieve mail every minute which comes from our website to a PC that is not used for anything else (it sits at an empty desk). Every so often we receive an error that it can't retrieve the mail. What we did at first to correct the situation was to retype the password in, close Outlook and then open it again which seemed to fix the problem. Now we realize that just by closing Outlook and then reopening it solves the problem.

As I said this PC is hardly ever used for anything else other than retrieving the mail so it is not happening because of other programs being run during the time.

Why would the error clear and allow email to come thru just by closing Outlook and then going back into Outlook again?

This is an error because Outlook is already in the middle of being on the mail server checking for mail, when a second request coem in to open a connection to the mail server, and check for mail. Because you already have one connection still open, Outlook gets confused, and gives you an error. Essentially, when you hit send / receive or auto checks for mail, it does the following:

1. Opens a connection
2. Finds the mail server
3. Logs in
4. Requestss a list of all mail on the server.
5. Compares that to the mail file on your PC.
6. If appilicable downloads any mail you haven't already.
7. Logs out.
8. Closes the connection.

Normally, this is a fast process. Sometimes, due to a sluggish connection, bandwidth considerations, etc, this can take a while. If it exceeds 1 minute, it will attempt to start the process again. By closing the program, all you're really doing is ensuring all open connections with the mail server are closed. My suggestion? Change the auto-check to 4 or 5 minutes, which will ensure this never happens again. Good luck!
