Have a Milel 3300 with integrated voice mail and hospitality feature. System service analog phone in hotel rooms and was originally intended to clear all voice mail messages and wake up calls upon changing room status from checked in to checked out. Presently this is not working from our 5540 console.
I need some guidance on how to set up the system to clear voice mail upon a change of room status (Check In or Out)?
Any help greatly appreciated.

The messages are retained on check-out

The messages are cleared on the next check-in

There is an option to override wakeups being cancelled via the Hotel Options form.

Sorry if I wasn’t perfectly clear, the I understand that the voice mails would not be cleared unless another guest is checked in, however upon checking in another guest the voice mails from the prior guest still remain. What I need to know is where and how is the function of clearing voice mails programmed in the switch? The existing status of the switch wasn’t properly configured by those who left it for us to resolve. Any help appreciated!

More than likely nothing is changing the status of the voicemail.

Normally a PMS will interface with the VM and check-in's will clear messages as required.

I suspect that your system either does not have an interface or the interface is not working.

The voicemails can be checked in/out Manually via a front desk mailbox.

Setting aside PMS integration: When originally setup it was represented that the 5540 console would when checking guest in clear the previous voice mails without necessity of a second step. This is not working so my question is, 1: Can the 5540 be configured to clear voice mail upon changing room status to checked in? 2:

If so where is this configured?

Thanks again for your help

Checking in the room(Phone) and checking in the VM are 2 different things.

The 5540 can check in the VM only if it accesses a front desk mailbox and uses the manual process to check in a VM.

There is no way to automate the voice mail clearing as a room is being checked in? So 5540 accessing a front desk mailbox I assume you mean a room example 101 and using a voice mail menu at the 5540? If not could you provide me with a little more detail? The original Installers had represented that checking someone in was going to automatically clear voice mail. This I am coming to understand from you that it just cannot be done that way.

Automation is done with a property management system. It would have 1 interface for each device (phone and VM)

The manual process also requires each device to be checked in using 2 separate steps.

There is no way for both devices to be checked in using only 1 step

There are several types of mailboxes; Extension, Menu, Transfer only, Guest room, Mailbox only, and Front Desk Mailbox. The front desk mailbox type is required to use any of the special hospitality functions including checking in and checking out of voicemail. You would typically create a mailbox and associate it with a front desk phone much like you would a normal mailbox. The Front desk staff would log into the mailbox and invoke the required functions.

At this point I have now said the same thing 3 different ways. If you still don't get it, I don't think I can help you.

Thanks, actually you have helped. The original system installer misrepresented the capabilities of the switch. I have read the programming manual and understand what that two separate interfaces are specified one PMS and one Voice Mail however having been told that the two could in some way be linked I was left looking for the elusive answer.
