I am creating a standard set of documents for capturing our processes and "how to" type things, would like to use the same template throughout this set of documents.

Would like to be able to have this set of documents linked somehow...so when a change is made to the template itself...that change can be automatically made to all the documents that are using this same template.

For example, the template may refer to my team as APP, however, next month they could change the team name to MS-APP, I would like to be able to make this change in one template and have the change filter through to all my documents using this template...?

Is this possible?

When I refer to a template, it is like a form that gets filled in. The DATA is not part of the TEMPLATE.

The DATA maps into the template. So what you seem to be refering to, is a central DATABASE from which your template can be loaded. Make the necessary changes to the DATA and report the results thru the template.

That sort of thing is what Mail Merge does, but it does not lend itself to a database; rather a table that would contain ALL your data.

Without knowing more about the kind of data you are dealing with, I can't offer more.

Your definition is correct. I want to create 10 forms each using the same template...form 1 how to add a firewall, form 2 how to add a switch, form 3 how to add a router etc....

The forms will look exactly the same, same header, same footer, same layout design...the only unique part will be the data that my techs add to the forms.

What I don't want to have to do, if I end up creating 30 forms is go in to each document and change the same word from APP to NA-APP on the header or footer of every document. I know you can change it in one place on each form and it updates the rest of that form, but what do you do to get it to update the same word in the same header on all 30 documents?

Then you make ONE FORM (template) with a DropDown control to select which set of data to populate the form.

The user make their selection and, VOLA, the data is populated. This can be done with MailMerge, WITHOUT actually performing the merge. You SELECT the appropriate row, based on the DropDown SELECTION value. Can be done witha minimal amount of VBA code.

So what you need to do first is...

identify the unique data fields in the form.

load the 30 rows of data data in a table, I would prefer Excel

design the form - it could be in Word and would be populated using MailMerge or the form could be in Excel, on a separate sheet from the table containing the 30 rows of source data. If in Excel, you could probably do the entire form without ANY VBA.

Your choice.

Another option...

You could create a Master Template using Bookmarks for all the text to be repeated. Then create all the form templates and use the IncludeText field to refer to the bookmarked text you want repeated. If the Master is then updated, the templates will update when they are next opened.

tf1 has it. Use INCLUDETEXT.

Although the use of the phrase "the templates will update" seems off balance.

If your 30 documents are based on one template, then if the text in their headers is an INCLUDETEXT field that points to the template, updating the template will update the documents when they are open.

The template (.dot file0 must be available/accessible of course....
