I manage a Merlin Mail Voice Messaging System (Release 3) for the company I work for. Over the past 7 years or so, we have been adding employee names and extensions to the directory so that a caller can dial by an employee's first name.

The problem is that we have not been managing this directory. I have years of obsolete names that have accumulated over time. How do you manage your directory listing? What is the best way to clean up this mess?

If you dial in as administrator, go to mailboxes, (4), option 6 modifies mailbox, 1 modfies name.

Thank you, for the quick reply Ken1713. I can get that far. I was hoping to find a easy way to identify all of the mailboxes setup in the directory.

For example, I call my company telephone number, press *2 and then press number "1" for "A". I get 19 possible matches. Of those 19, I have about 9 matches that are associated with employees that are no longer with the company.

In order to find out which extension these names belong too, then I have to select the associated number, such as press #1 for Barbara.

This is not that big a deal, but to find the next obsolete name in the directory, I have to hang up and call back into the Auto Attendant. If this was 5 or 6 names, again no big deal. But, I have over 6 years of stuff to weed through.

Not sure if this is what you want, but I would get a list of existing ext. and then go in and change the names to match. Delete mailboxs that don't belong.

You CAN connect via the RS232 port using Hyperterminal - a null modem and 355AF adapter - and print-out a configuration report - which would give you the full list of existing mailboxes, their Directory names, etc. - but it is a somewhat complicated procedure.
