Merlin Magix auto-attendant 2

Hello, I have been working for my current company a few months now and the last systems admin. didn't leave me any documentation on the phone system which is Avaya Merlin Magix release 2.0 or earlier. I have a manual but it doesn't include information on how to program the auto-attendant, more specifically how to change names and numbers of the people on the current list. I don't even know how to access the AA? Any help is greatly appreciated. Thank You

 
You can get all of the relevant documentation in PDF format from the Avaya.com website, under Support - just scroll down to Magix Integrated System for documentation on the system - and to Magix Messaging - for documentation on the voicemail. To access programming for the AA and mailboxes - you need to login to the VM Admin mailbox - which is mailbox "0". You will need the password - which may still be set at the default of "123456"#. You then need to press 9 for voicemail system administration. You will be offered menu choices to administer mailboxes, autoattendants, etc. - just follow the verbal prompts. To change names in the VM directory - you will need to get the page from the voicemail planning guide that has the 2-digit number codes for each letter of the alphabet. Again - you get that at Avaya.com

Once I am in the AA administration I get asked to enter the AA number. I put in 21 or 22 which seem to be the only ones that work. Then hit 1 or 6 to listen to the system/modify and *2 doesn't work to transfer to the directory. I can't find documentation on how to edit the list of people on the AA and change the numbers.

OK - your atoattendants are numbered 1,2,etc. Then you are prompted for day/night schedule. Day = 1, Night = 2. After you pick - say Day mode - you will be prompted for a selector code. Assuming no changes - press *#, if a Magix Messaging, you will be prompted to change the recorded greeting - this is where you change the Day Autoattendant greeting. If this is a Legend Mail, you will be prompted to change the Dial 0/Time Out action - if no change - just press *# - and you will be prompted to record a new greeting or to keep the same one. Once re-recorded press *# to confirm - and the voicemail will say - approved, menu saved. Until then - no changes are recorded on the hard drive.

Modifying mailboxes (directory listings, recorded names - is done in a totally different menu from modifying the autoattendants. If a Magix Messaging, it would be under "extentions" - I believe it is main option 2 or 3. There you will be prompted if you want to modify a mailbox - just follow the prompts. The directory listing - is how callers can dial by name - so you need to input the 2-digit letter codes for their first or last name (this is why you need the sheet I mentioned with the codes).

What I am trying to get at is we have a number that people call which allows them to either dial an extension or you pick from different menus 1 for sales 2 for finance etc... I am trying to figure out how to add a person to the sales menu and his extension. I am not sure if what you told me is how to do it, I am not to quick with this particular phone system and its menu's. I have the letter/code page from avaya. But can't figure out how to add this person to the AA list under the sales group.

OK - that would be in a totally different place - in system programming. To add the person to the group - you need to know the group extention number. If you don't know what the extention number is for the group - go by them and watch their display when a call transfers in from the AA. Their display will flash briefly with the group calling#. Once you know the group number - at the main console: press menu, system programming, start, extentions, the more (right arrow) key, group calling, members, key in the group's extention number, key in the extention number of the phone you want to add to the group, and press enter. Now press exit to leave programming. You can first test the group extention number, by pressing intercom and dialing the group's extention - you should reach someone in that group. Group extention numbers usually will be in the 700 range - but may have been changed to something else.

Actually, I think you are looking for submenus.

Caller at the auto attendant hears for sales, press X. When they press X, they hear a submenu, for John, press 101, for Frank, press 102, for.....

Log into the System Administrator's mailbox, press 9 for programming, 3 for Auto Attendants, 1,2,3,or 4 for the correct auto attendant, 1 for day or 2 for night, then 2 to play the menu, and 2 again to play the menu definition, and you will hear a listing of what each digit in the menu does. Now you can find the correct submenu to change the recording on.

Log back in like you want to change to main auto attendant greeting, but instead of 1 for day and 2 for night, press 3 for submenus, then enter the submenu you want to change, and follow the prompts to change it.
