mail forward problem

Hi,
We are using Notes 4.6.
User is having problem with forwarding mails with attachments. She gets following message:

"Database (.nsf) has grown too large : Use File New Replica to create your file with larger capacity"

Her mail file is large (around 1,5 Gb) is that the probem?
She can forward or write mails without attachments.

There is absolutely no way that I would let one of our users get to that mailfile size. The larger the file the more likely you are to run into problems. 1.5Gb is just ridiculous!

I can't remember back to my 4.6 days but I seem to recall there being a file size limit. This is most likely your problem

Get the user to archive and reduce the size down and implement a policy to prevent users letting their mail grow too large. Our users have a 75Mb limit and 200Mb if you are a manager. This is very workable and the users are happy to archive if they start getting messages about the file size.

You will find everything easier to manage if users maintain their file size to a reasonable value

Remember - e-mail is used to send and receive mail and should not be used as a filing cabinet for everything.

I know it is silly to have mailfile of that size. I am new here and just started to monitor this things. What I did is replica of mailfile and set the limit for replica to 4GB, then I replaced the original with replica. This was kind of urgent for user.
Now I'll instruct him how to archive in the future.
I'm not that experienced with notes yet. Can you advise me how to implement a policy to prevent users getting their mail grow too large.I would appreciate it.


 
In R4 use the menu option File\Tools\Server Administration
Select the mail server at left and "Database Tools button at right.
In the dialog select the database(s) at left and the "Quotas" tool at right.
Fill out the quota max and warning threshold, then press the Update button (not the Done button)

That'll do it!

Get something in writing out to the users that is backed by your management. Then when the users start getting the messages about being over the limit just remind them of the company policy you e-mailed to them.

One other question. Now I archived her mail (I had to enlarge the archive file as well as it is also set to 1GB limit).Why is it that when I archived more then 1000 mails the mailsize in database info was still the same (1117MB)?Do I have to reconsturct the database. How do I do that?
 
Use the compact task to reduce white space (previously used file space that is now waiting for reuse). Compacting your databases is probably already scheduled?

Use "Load Compact database.nsf" at the server console.
Use the "Compact" tool under Database Tools in the administration client as described in a previous post.
Or even do it from a workstation by pressing the compact button on the second tab of the database properties.

Thanks a lot, I compact and it works. It took some time because it was so large. We have it scheduled, but I couldn't wait, so I did it manually.
