IP Office - VoiceMail Pro (Intuity) Announce Only voicemail 2

I am trying to figure out how to accomplish the following:

- External guests calls our restaurant number
- Phone rings for 45 seconds, allowing for an available host to pick up the call
- If no hosts pick up, guests are directed to an announcement-only greeting to direct our guests to make their reservations online.
- Disconnect at the end of announcement.

I have read previous posts and believe that this is achievable. Problem is that I am not sure where to set the voicemail as information only? Is this achieved in IP Office, VoiceMail Pro (Intuity), or at the prompts for managing greetings in VoiceMail?

Please be descriptive as I am new to this product.

You can record a greeting so that it will continuously play and never let them leave a voicemail but if you want it to play once and then drop the call you will need to make a VMPro module.

Have calls go to a group with a voicemail timer of 45 seconds. Add a leave action for the group. Add a menu with a greeting that plays with what you want. Don't select any selectors but select timeout with an appropriate timeout (say 5 seconds). Link the timeout to a disconnect action.

That should make calls ring the group for 45 seconds, hit the VM timer that sends call to the leave action which is a menu (which plays the greeting), waits 5 seconds, and then disconnects the call.

Hi Critchey,

1. I created a blank VMPro module.
2. I added "Assisted transfer" for a hunt group
3. On the Assisted Transfer "Specific" tab, I set the "No answer timeout to 45 seconds"
4. The "No Answer and Busy" from the Assisted Transfer action have been linked to Leave Mail action
5. Leave Mail action's "Success and Failure" have been linked to the Menu action
6. Added an announcement to Menu action "Entry Prompts"
7. Menu action's "Touch Tones" timeout setting set to 10 seconds (duration of announcement)
8. Menu action's timeout linked to Disconnect action.

I tested this out and monitored call status with Avaya IP Office System Status -> Trunks -> Active Calls.

Everything works, except that: When I call in as a test guest user, I can't hear the ringer. On my phone, it's dead silent. The ringer on the target phone that is a member of the hunt group rings just fine. I just don't understand why, as a caller, I can hear that the phone is ringing. It appears like the line is dead.

Any clues?

P.S. I should clarify that the versions of IPO and VMPro are the same, I am just running a newer version of the VMPro client. Sorry for misinforming you on that.

You're overthinking it. Get calls to the group, either by pointing the DID to it, or a regular transfer from the auto attendant to it. On the Voicemail tab of the group, set the No Answer time to 45 seconds. In Voicemail Pro, add a leave action for the group, connect the Start to a Generic that plays your announcement wav file, and connect the Next of the Generic to a Disconnect

Please forgive my struggles. As I mentioned, I am very new to this platform. If your instructions refers to a setting with a slightly different name, I get completely hung up and think that I am in the wrong place. It's my forever curse.

So let me review your instructions for clarity.

1. In IP Office Manager, expand the Organization node and select "Groups".
2. In "Groups", select the desired group to manage and click on the "Voicemail" tab in the details pane
3. Check the "Voicemail On" checkbox (active) and set the Voicemail Answer Time (sec) to 45
4. Now switch to Voicemail Pro Client
5. Expand the Organization node, expand "Specific Start Points" and select "Groups"
6. In "Groups", right-click the desired group (same group as step #2), and select "Add Start Point"
7. In the "Adding a new group" dialog box, select the "Leave" checkbox and click "Ok"
8. Select the Leave node and from the button bar, click on "Basic Actions", and then click on the "Generic" option and place the box in the work pane next to the "Start Point"
9. Right-click the "Generic" box and select "Properties"
10. In the "Properties for Generic" action dialog box, select the "Entry Prompts" tab and click the plus symbol to add the announcement
11. In the "Wave Editor" dialog box, click the ellipsis symbol to browse for the announcement file. Select the file and click ok.
12. Click ok again to close the "Properties for Generic" action box
13. Click the "Connector" button from the button bar
14. Link the "Next" from the "Start Point" to the "Generic" action with the connector
15. From the button bar, click the "Basic Actions" button and select "Disconnect"
16. Place the "Disconnect" action next to the "Generic" action
17. Click the "Connector" button from the button bar again
18. Link the "Next" from the "Generic" action to the "Disconnect" action with the connector

Sorry for being overly descriptive, I just feel that with any ambiguity, I am risking nuking something in production.

I use to write training manuals. No matter how good you think the instructions in the manual are, someone always misinterprets something and blows things up.

So in my new role, I document everything I do to ensure that my successors can understand what was done to achieve the stated objectives.
