Inclument weather

Hey guys, I am trying to set up an inclument weather system and am having some issues about how to set it up properly. Our goal is to have employees dial an 800 number and then have a prompt that says press 1 for this location, 2 for this location, etc.... Once they do that a recording comes on that says whether the office is closed or not.

I also need employees at other locations not tied into our phone system to be able to remote in through a silent prompt to edit their recording for their location. Similar to *7 gets you to voicemail.

I had someone tell me the best way is to create phantom mailboxes for each location, but I don't know if that is the best way.

Any info would be appreciated. Thanks!
 
You could also set up a VPN into your network, that way they can go right into the manager and make the appropriate changes. This is only going to work if the people making the greeting changes have an understanding on how to navigate the manager.

You say you only want the prompt to say whether they're closed or open, which can be prerecorded and using time profiles can turn off and on at designated times. Why do your employees need to change this greeting?

*Also I'm 100% not sure you can change Auto attendant greetings through a ghost mailbox.
 
Employees wouldn't be making the changes. The change would come from HR. I guess I could setup a recording that says this location is currently closed have some kind of toggle that can be turned on or off.
 
Are the office hours the same every week? or do they close at periodic times?
 
yeah man, no need to make changes to your greetings. Just set up both recordings and then set up a time profile so that the after hours greeting kicks in after 5pm.
 
Well it will be coming from a separate 800 number that employees will call to see if we are closed. I won't be making changes to our regular greetings.

I was planning on setting up each of our 10 locations with a phantom mailbox so our HR reps can dial our main number and hit *7 to record the message).

How would I go about having someone dila a 800 number and prompts you to press 1 for location A and when you do say you get the mailbox setup for location A?

Use exactly the same callflow with an unannounced branch from the menu to a pin protected action and then to another menu that lets the caller select which site they are calling on behalf off and then Edit Play List actions that let them record the "are we open or closed prompt" for the site that users in the other branch of the callflow listen to.

Stuck in a never ending cycle of file copying.
 
At tlpeter yes I have voicemail pro. I thought I could use the listen option under mailbox options but that didn't work it seem to listen to my voice instead of me listening to a recording after pressing 1.

At sizbut, that will work for our HR reps who will be editing the recordings but they are at different locations so I would need a way for them to remote into our system and make the edits. How would I then tie them into a system for employees to select their location and listen to the recording? Thanks!
 
They "remote in" by dialing the same 800 number as every one else. Then will other callers are pressing 1 or 2 or 3 for site selection they press * to be sent to another Menu action. That Menu action has a pin code set and also does site selection* but with a link for each site to an action for recording the site's current status prompt rather than one for playing that prompt.

*a cunning bugger would make the site selection menu a module that is then reused twice in the same callflow but that would just be showing off.

Okay that makes sense sizbut. What is the best way to play the recording then. I have it setup so if you press 1 there it is set to transfer to that .wav file, but it is saying I need to have a mailbox to point it to. Sorry I'm still new to all of this. Thanks!
 
For each site just use a Generic action to play a prompt as one of the action's Entry Prompts.

The callflow for the administrators uses Edit Play List actions to allow re-recording of those prompts.

Or if they have a specific "recording-phone", match incoming cli to go directly to the recording-menu :)
