How to create a general email address to send to all ?

Config: MS exchange mail server 2003 and Outlook 2003, pop3.

I know you can create a list in OL2003. But is there a way to create a single email address, example. allemployees@yourcompay.com and have that email send out email to all the email address listed. Basically the address would be a shortcut to all the address in exchange server.

You're using just POP3 with Exchange, or are they connecting via MAPI?

You can use a [google]query based distribution groups[/google], or you can manually create a group and add everyone to it.

Well it turns out we are using both. Internally we are using pop3 and some of the external locations uses MAPI.


Can you create a group with about 500 address at a server level and share it out to all users. I know in Outlook 2003 it limits you to a certain number, so you have to create multiple. Which is something I don't to do.

The Global Address list is seen by MAPI users, and would only be available to them. POP3 is a dinosaur and has not place in a business environment - especially one with an existing Exchange box. You're stripping away most of the functionality of a great product.

Simply create an "all users" Universal Distribution Group in AD and give it an address of something like "allusers@domain.com". Add everyone that has a mailbox to that group membership and you're done. Make sure any new users created have membership to the "all users" group as well. Now send a message to "allusers@domain.com" and everyone should get it, POP, IMAP, MAPI doesn't matter.

MAPI users will be able to see that group in the GAL (Global Address list) so be careful with that. Maybe apply so delivery restrictions on that group like message size limits etc, or even hide that group from the GAL all together.

That's doing it the hard way, as you'll have to manually add people to that list. Create a query based distribution list and you won't have to touch it again.

MAPI users will be able to see that group in the GAL (Global Address list) so be careful with that.
But, by default, anyone, including myself, could send to it. Setting delivery restrictions does limit this. But not having everyone on MAPI - the way the product was designed to be used, means it's not visible to everyone (they can't see it in the GAL if they're POP3).

If POP3 is an (unfortunate) requirement, it makes FAR more business sense to install a POP3 connector on the server, and then configure the clients for MAPI and not POP3. You save a crapload of bandwidth, OWA works better, all clients have access to Exchange features, clients have less workload, etc.

If you have a static public IP, then doing away with POP3 entirely saves you a TREMENDOUS amount of bandwidth, and you get even more benefits.
