This is a personal use database that I am wanting to create for a friend.

She collects Fenton Glassware (has a huge collection). What I want to do for her is create a database where she can have information about each piece of glassware that she has. It will have lots of information to input which is no problem.

My question is what is the best way to let her insert a picture into the record? I know I don't want the pictures in the database, but just linked to it.

Then my next question is going to be how to go about printing these pictures in a report (generated by a query)?

What I know she is going to want to do is be able to pull up all her "red" "vases" and print it out so that she will be able to take it with her when she goes shopping. Not that she really minds having duplicates :)

Storing JPGs and other graphical files inside an ACCESS table is possible without bloating and with a very easy to implement interface. I use the Graphics! With ACCESS wizard (found on the powerups link page of You can use this wizard even without any programming experience since it comes with a sample database, it gives you thumbnail and zoom functions and detects the dimensions (height/width) of the pictures as well.
I use this wizard extensively for my clients with ASP websites.
They have all their pictures inside the MDB (instead of the /image-folder) and so they just have to upload one single file (the ACCESS MDB) on their webserver. This FTP upload is done from inside ACCESS with automatic URL/Username/Password transfer (invisible for the client) and the display of the images in the ASP pages is made with ASP as well.
Advantages:
Event those clients who do not have any computer knowledge can maintain their own dynamic websites.
It is guaranteed that all graphic files necessary for the website are located on the webserver.

Thanks for the information...unfortunately I use access 97 and this says it is for 2000. Ellie

We use DbPix with Access 97. Or, were you referring to UnSoftware?

I was talking about the one that Francescina was speaking of. Sorry for the confusion. Ellie

Thanks for the Access Picture info, I had not heard of these and will check them out.
Just one few points
The original question EllieFant said "I know I don't want the pictures in the database, but just linked to it."
So all she need do is have a field store a file path to the picture. Then place a picture object on the form and load the file into it.
From experience however I would say that it is best to store the pictures in the database.

Francis,

Doesn't that make the database size HUGE to store them in the database? That is why I stated what I did. Ellie

If you just link the images and not embed them. Then the database shouldn't grow that much because you are just storing the text for the path where the image is located. But let me warn you that if you are developing this database on your local computer. Make sure that you put in the actual path. Or you will have to change the path. That is why the other software is so nice. It doesn't rely on the link. I havent used any of the software but I have talked with them and will probably be purchasing one of them.

Hi, Ellie!

If you want to create DB what would contain links to image files and do it by using some automatical updates I have sample application which include solutions of frequent problems like Links creating and removing to another DB, User and Group Account by using Access form, StarUp Setting, References Refresh, TreeView, Common Dialog, ProgressBar controls, Drives, Folders, Files selection and Information and several other as well as update of 'File Names' table by selection of needed file extensions and folders and form's example which contains hyperlinks to files, image previews, file attributes and selection by several criterias.

E-mail me and I'll send you this application's MS Access 97 or Access 2000 version.

Nate,

Yes, this database is going to be on a local computer...well her computer. It will not be shared by any person. I am going to suggest to her that her pictures be located in a folder that contains the database and a folder just for the pictures. Something like C:Fenton\Fenton Pictures.

Since she don't have a digital camera yet and I do, I know that I will be the main one entering the actual pictures into the database. She is thinking about getting a camera so I wanted to create something that she could put pictures in when she does get a camera...or chooses to scan her pictures from her regular camera. Ellie

Is There an Option for a scanbutton (TWAIN) From the form?

gsm2001,

I think there are some ActiveX controls out there that will allow you to do just that. I'm also looking for a control myself that will allow me to view images right from the camera that is connected via a USB port. But havent found anything yet. I also use a card reader to read memory cards and Im looking for someway to view those images in the database so anyone can add a image. But I havent had time to mess with that either.

My camera is a Mavica CD-300 - just take the CD out and put it in the drive and away you go. Ellie

Hello all,

Just a quick idea, why not have the pictures stored somewhere specific, and name them the same as your key field. Then you could load them into the form or report as needed and you could keep control of all the image locations and revisions because they would all have to be in the same place.

I used this the last time I had to have user created images, and it worked really well, you could even program your database to copy an empty image file for new records, then you would see straight away what images you needed to import.
