Hi there,

I have created a field, date which forwards itself with 7 days from the original created dat, in other words, if I create a new entry today 30 July 2003, my follow-up date will be 06 August 2003, if this is saved, it's set... NOW I need to setup a reminder to the person that created the entry based on the follow-up date, so when the time comes, it must send the user who created the entry details of that document, no need to have everything in the reminder, but basic key information as well as a doc-link to the entry / doc that was created. A second twist comes to this, if that person still not act on the reminder within 2 days after the reminder was set, that it terminates the entry into a status being terminated and send that status to the user, is this possible, I have no idea what to do here...

Thanks and kind regards

Hi,

This is very much possible.
You need to create an agent in the database for this.

You can create a view that shows all overdue docs and then let a simple agent run over the view (simple actions). The same thing for you second status.
In your agent you will need to select at least 2 simple actions:
1. set a field (to mark the document, so the mail is not sent again)
2. sent an e-mail with a computed subject (the documents title) and the option to include a link to the document.

If you know how to write forula language, you can optimize this a bit and include some more data in the memo.

Using Lotus Script you can do this in a far better way where you can create 1 e-mail that contains an overview of all open items for 1 user. It also allows you to nicely format the memo and to include any data you wish.

Kind regards,

Hi,

Thanks, I am not a programmer, I have the vision but have no idea to do this... I have created a view already with the due dates based on the date field, it's just now to trigger the notifications that I am not sure how to do it!

regards
