I'm archiving some of our user's databases. I want to archive anything older than 2 years, but when I 'archive now' only the folders are archived, not the contents in the folders. What's the deal? Thanks!
The option to 'archive now' archives mail acording to your archive settings. If there is nothing setup then the option will just create an archive database with the folder structure, as you described.
You need to go into
Actions > Archive > settings
Change these settings to reflect which mails you wish to archive. Eg, all docs not read after X days.
Also check the Advanced page on the archive settings.
There is a option in here that has caused us loads of problems.
'do not delete docs that have responses' this basically means that docs that are in a thread get archived but not deleted from the server ! kind of missing the point. I turn this off ever time.
The standard archive options are not the best so we advised most of our users to use the 'archive selected documents' option instead. They first select what they want to archive then chooce this option.
In your case they could list the mail in all documents view and put them in date order. Then its simple to select all the mail upto a date and archive it (it will still go into the right folder structure)
This saves on helpdesk calls from people who have archived and are now complaining about mail going missing which they did not expect.
