you need the cosessions sotware to get into the vm.
in every mailbox there is options for saved/archive messages (in days)
you can adjust every mailbix to be the same or different. i wouldn't allow the archive to be too long as you've only got like 4 hours of storage total. i ususlly do 7 days for saved and 14 for archive.
BUT
if they use the live record option, i would shorten that down as recorded call can really start eating up space
