Extension in use

Hi

I have just come to a new company and they have a few issues with their IP phones, one of which is that when a phone is unplugged and plugged back in, it comes up with Extension in use. You can manually enter the extension and password and it works fine, but I'm wondering if there is a setting I can change to prevent this from happening?

They are using IP Office Manager 5.2
The IP phones are Avaya 5602 and they are configured to use DHCP
