Hi Guys,

I know it's possible to CC all incoming e-mails to another user. For example, all e-mails I get are automatically forwarded to the main secretary in our building. Many other users have this setup as well. This is done through the delivery options setting. However, can this be made conditional? Meaning, selected users that e-mail me will have their mails forwarded to the main secretary, but others will not? Can this be programmed? Please advise. Thanks guys!
 
Use the Rules Wizard to setup the conditionals that you want (In Outlook - Tools/Rules Wizard). It's self-explanatory from there really.

This is the scenario I am looking for:

A user, call him John, has his incoming e-mails forwarded to the main secretary. So, if I send John an e-mail, the main secretary will also get it. However, if the president of the company e-mails John, she does not want that e-mail being forwarded to the main secretary.

Can this be done? I am looking at the Rules Wizard right now, and I cant see how to do what I am looking for.

Please advise. Thanks!
 
In the rules wizard, set it up as:

when a new message from "ceo@company.com" arrives, send a copy to "secretary@company.com"

[I'm doing this from memory, but that's roughly how it should look.]

You'll need to create a new rule for each person's incoming e-mail, which will only work for addresses in his Contacts folder.

Or do you want the forwarding on by default, EXCEPT for the CEO and select others?
 
Okay, now that I've looked at this closer, you can't use the pre-defined rules wizard. You have to choose "Start with blank rule".

Then click Next

Click Next again, because you want this rule run on ALL messages

Then click "Forward it to people/distribution list". You have to click the hyperlink and type in "secretary@company.com".

Click Next

Now HERE is where you specify the "except from" people. Click on "except from people/distribution list" and use the hyperlink to enter "ceo@company.com" and anyone else you don't want forwarding.

Sorry I shot my load early in the previous post -- I fired up outlook and had to experiment a bit. :)

Don79 - As jpm121 pointed out, you setup the rule, and you'll run into the "except" at the end. It'll do exactly what you're trying to do.

Thanks for your reply guys. I didn't even know I got replies. I guess tek-tips no longer e-mails me when I get a reply?? Anyway, I cannot find where I click the "Start with blank rule" item. Either I need new glasses or I'm going to the wrong place. I went to tools -> rules wizard -> new.
 
Thanks Guys. I think I got it working. However, can I use an external e-mail address for the "except from" field? For example, "except from" user@aol.com

 
Yep Don, you can. When you click on the little hyperlink to type in messages, just click over in the window where the other addresses are (on the right I think) and type the user@domain.tld entry.
