Embedded Voicemail remote access

Hi All,

This is my first post here. I am straddling many roles at the company I work for and 1 of them is IT Admin. I did not set up the system and have had no formal experience with it. I've only ever used it to amend the names of various extensions when people leave or move desks.

Due to Covid-19, all of the admin staff are working from home. I am trying to set up remote access to the embedded voicemail that collects all the voicemails on our incoming phone number, not the individual users. Internally, we dial *715 to access that mailbox. This shortcode is setup as follows: *715, Voicemail Collect, "?1001".

From what I can gather, we have an Avaya Ip 500v2 system. I am using IP office manager 10.1. When logged, at the very top it shows IP office manager (our phone number) [8.1(65)] [Administrator(Administrator)].

The voicemail tab under system says: VM type: Embedded Voicemail, Vm Mode: IP Office Mode. Messages button goes to Visual Voice is ticked. The breakouts are set to the first 3 extension numbers in the series. SIP settings all blank besides anonymous being ticked.

We have 6 SIP channels. I think that's the basic profile out of the way.

I've searched for days and tried endless configurations, but can't seem to get it working. Here is what I have done:

I have taken one incoming call route and set the destination to Voicemail. When I dial I get the prompt to enter my mailbox number.

I've created a shortcode as follows:

Code: 500
Feature: Voicemail Collect
Telephone number: "?"
Line group ID: 0

I've taken a spare extension (also did mine) and changed the voicemail code to 1111 and set all the breakout options to 500.

When I dial in and enter my extension or the spare one, it only gives access to the individual mailboxes.

When I dial 1001, it says: remote access is not considered on this mailbox.

I am not sure what to do next.

Also, there a way I can access the voicemail recordings on a PC to be able to delete bulk messages that we would consider too old. Say be able to delete the recordings between 23rd March and 5th May.

You must add a voicemail code for the hunt group 1001. Go to the hunt group, the voicemail tab, and enter a voicemail code. Cannot be consecutive digits, the same digit, or the same as the extension.

Is there any way to access the recordings on a browser or something so that I can bulk delete old messages?

When I navigate to the IP address of the IP office system on a browser and open IP Office Web Manager, most options are greyed out.

I can only click on:
System - user preferences.
monitoring - System Status
Tools - Version, On-Boarding.
