Emailing Single Record 1

I can't set the report's query to filter for the record as the report is used elsewere. I don't really want to clutter my database with a copy of the report. What is the best way to save the report of a single record? I have an email code already set up, I just need to save it somewhere so that it can be attached and mailed.

I had the same issues. I converted it into a .PDF file. Then anyone that has a PDF reader can view it. You have to have Adobe Acrobat reader though. If you do Adobe acrobat has instructions on the process.

I use 5.0. From what I understand with that version of Acrobat you have to set up another printer or something. This database is going to be used by about 1500 users, so that isn't practical, though printing it as a PDF would be the best solution.
 
I use 4.0 and it worked just fine. I think I researched Google and figured it out. I will try to research myself to help you with an answer.

Thank you very much! That would be a help. All I can find says I need to make another printer, or does not work with Windows 2k which is what most of my network is running.

 
I think you have to have the full version of acrobat in order to convert to .pdf. And I think you need to set the report printer to select the adobe distiller (under the 'Page Setup' options select printer, and the PDF maker should be available if it is installed). If you search Tek-Tips on Access Reports PDF, you will get a lot of different options and ideas on this.

Another option is use Access' 'snapshot'. Anyone can download the viewer for free from Microsoft. This may be a pain if you are sending this to many different recipients at different times. Otherwise, you can save as an .rtf or .xls.

You must have Acrobat PDFWriter installed on your machine. It is set as a printer type. To print to pdf. you display the report and then select the Printer name of "Acrobat PDFWriter" and then it creates a pdf file.

THE KEY IS [highlight]Acrobat PDFWriter [/highlight]installed on your machine.

I have 4.0 writer. It works great. You pick what record you want to print, then select PDF Printer as your printer and it makes a file.

The other thing is, is maybe saving as a webpage. Everyone that has internet access, can usually open a webpage.

I also found this after researching:
or PDF995 (free - try google, or if you can't cope with it starting up a URL each print, multi-user licences are peanuts)
or CutePDF (not sure of the spelling or the price)
or ... many other free/cheap/good PDF writers i'm sure: try google.

The problem with those solutions are that this database is going to be spread among 1500 people, and I can't practically install a program or configure a printer for everyone that will be using the database. Is there a better answer?
