Domino 6.5 Archiving 1

Having just upgraded to Domino 6.5, we are about to dip into the world of archiving. It looks like we want Server based Archiving, I have gone thro' the Help concerning Policies and Criteria.

I know that mail files on the server will be Archived, but my question is, Which Ones ???. Will all mailfiles on the server be elligable for archiving by default, or do I have to set something to say "Allow archiving within this Database", for each individual mail file.

Ideally I would like to set up server based Archiving, but initially just have it run for one mailfile while I test the system out. Anyone have any idea how I would set this up.

Archiving options are set in Policy Settings documents within the Domino directory.

Policy documents can then be applied either by organisation e.g. all users registered in /Users/ACME, or explicity to the user.

If you want further help please post back here. Server based archiving in this version is useful but it does not compare with some of the 3rd party products out there.

The problem with native Domino archiving is that once the message is archived it is gone from the users mail file. Other competetive products leave a base e-mail for Full text Searching and provide a doclink to the full message/attachment.

Thanks for that Mike, I have just done a bit of reading re Policies (as you my have gathered, this is all rather new to me - in at the deep end or what).

Can I just make sure I have got this right.

I have voulanteered myself as the first test victim (gulp) I recon that I need to set up an archive policy (for server based) and then apply it to my entry in the directory. This should run server based archiving, but initially only for my mail file. Am I right so far ??

3rd party software sounds interesting, could you recommend anything.

OK, I'll summarise the steps as best I can

(1) In the Domino Directory select the Policies View
(2) Click the Add Policy button
(3) Give the policy a name, I've used "Test Policy1"
(4) Leave the type as an Explicit policy
(5) Enter a description e.g. My First Archiving Policy

(6) In the section below, click the New button next to the Archiving label
(7) Give the settings document a name e.g. Archsettings and a Description
(8) Select server based archiving (Not Users Local Workstation)
(9) Select either Mail Server or Specific Server
If Specific server then specify it below

(10) Continue to add Selection Criteria; Logging and Advanced Options
(11) When Criteria document has been saved (e.g. Criteria1) be sure to select this as criteria in the Settings document.
(12) When done save and close the Archiving Settings Document
(13) Back in the Test Policy1 Document, click the Archiving dropdown select the Archsettings document

(14) Now you have successfully created a policy you need to apply it to the guinnea pig, in this case you

(15) Switch to the People View
(16) Edit your Person Document and select the Advanced tab
(17) In the assigned Policy field select the Test Policy1 document using the drop down list.

As you can see this is a long winded process, but done right you can create a powerful policy profile that means you pretty much never have to do any user administration again.

With regards to third party software. I work for a Lotus Domino company. We specialise in Domino infrastructure projects and sell a number of Archiving products. These range from a product called Atomic EMT which archives duplicate attachments from mail boxes, to the complete hierarchical storage management system for Domino from Sun Microsystems called "Infinite Mailbox".
