I'm setting up a resource (projector) in Outlook so that individuals can schedule it for their meetings. I automatically processes requests and cancellations. However, if a person cancels the meeting they get the option to "send cancellation and delete meeting" or "delete without sending a cancellation". I don't want them to get the option to "delete without sending a cancellation" or the resource will still appear as unavailable! Anyone know how I can disable it?

As far as I know, you can't prevent this from coming up. But, it looks like if they even choose "delete without sending a cancellation" it will still free up the resource booked in the calendar, just not notify the people. Am I reading this right? Is that what you are concerned about?

Nope- the resource was not freed up. I canceled the meeting without sending notice and the resource still has the time slot as busy and would not accept other invitations to meetings for the same time.

ok I think I found it. Supposedly, this is by design.

After the cancellation, on the resource calendar, the word "Canceled" precedes
the meeting subject and Show time as is set to Free. This information remains so
that you can see the nature of the canceled meeting.

So what they are saying is that yes it stays but the time "should" be marked as Free so someone else can reserve it.

About the issue of having it NOT ask the question, I still don't believe that is an option.
thanks
