Cut and Paste from Excel to Word

Good day!

My company is still using Office 2000 SP3. We have a group of users who need to cut and paste from Excel into Word but they complain that some of the columns are cut off when they paste.

One of my desktop support techs tried it on his PC using the same Word and Excel files as the user and the cut/paste procedure worked flawlessly for him.

The two differences between the desktop tech and the user are that the tech is running Windows XP while the users in the group are on Windows 2000. Secondly, the desktop tech has domain admin rights and hence, local admin rights.

Could this be an issue with the OS? Permissions? Doesn't seem likely but with Micrsoft, who knows... Thanks!
 
One of the first things to compare would be the default settings for Word...eg margins.

The other thing to do for your users is first insert an XL object adjust widths of columns to fit the no of cols you need and then paste data from your Excel workbook.

What exactly do you mean when you say "cut off"? Excel data should normally be pasted as a Word Table which may overflow the edge of the page and perhaps appear to have been cut off.

When I write "cut off", I mean that the final column or two does not appear after the excel data is pasted into Word.

We played with margins to no avail; we tried making the Word page Landscape instead of Portrait but the columns were still missing after the paste.

Finally, the user scaled down the Excel spreadsheet to 75% which worked, all of the columns appeared after pasting but the desktop tech who performed the same function did not need to shrink anything.

The user stated that additional columns would soon be added so shrinking the spreadsheet down would make it unreadable to our customers. This is a weird one! We have a few copies of Office 2003 here so I may play with this problem in that version and see what happens.

Take a look at Tools > Options > Edit tab. There are several options which can affect this - paste format, smart cut and paste (and the individual settings within that) - also check out the options available from the Paste Options button after pasting (make sure it's set to show).

Hi Kanaan,

The fact that the tech is running Windows XP while the users in the group are on Windows 2000 might be a clue: The tech is almost certainly using different video & print drivers than the group (and perhaps a different screen resolution as well), and any of these can affect Word's interpretation of what can fit on the page.
