Hi:
I have a report that is grouping people by a category of follow up - "Full follow up" "phone only" "written" "none".
Under these group headings, I had to add the person's ID as a group as well in order to have the details for each person listed as a single ID with the details underneath.(i.e. 3 or 4 different activities which qualify them for the above categories)

So, when I try to create a group summary based on # of people under a follow up category - the count is off. Even though the person's ID only shows once, the summary still seems to be counting their "hidden" second or third instance.

How can I have it only count each person once?

Could you explain how you are suppressing; formula in Section Expert or Suppress Duplicates under Format Editor?

You should be able to use a Running Total. You can put formula's in a running total to suppres the count when criteria is met.

Let me know how you are suppressing and I will try to help you with the running total.

Well - Here's how its working.

Example:

Full Follow Up category
John Doe
5 follow up activities associated with him.
If I don't group by person ID I would get John's name 5 times under the full follow up category w/each of the activities associated with his ID. I found by grouping by ID number I get his ID once and then I can put the "activities" in the detail. I want to count the number of people under the Full follow up category only once but it seems that even though I only see John's name once - the count is picking up the 5 times - and if I use distinct, I can't even tell where that is coming from.

I'm not really suppressing anything through a formula. I just grouped on the ID and got this result.

Is that any better?
 
Try this...

Open Field Explorer
Running Total Fields
New
Enter a name for the running total
Enter Person ID in the Field to Summarize
Enter Distinct Count in the Type of Summary
Evaluate on Change of Group
Reset Never
OK

Drag the running total into the group you created for Person ID.

Hi:
That worked great but I did have it change on the "Follow Up Category" and then I did a grand total count which I put in the report footer. (Thanks so much)

Now, How can I have a pie chart which would reflect these distinct counts for each follow up group. When I use the wizard it creates the same problem I had with the count.
 
I've only worked with charts a couple times in Crystal and it has been awhile. Try this...

From the main menu, Insert
Chart
Pie
Click on the Data tab
Click on the running total field from Available Fields
Click > under Show Values
Highlight the running total field from Show Values
Uncheck Don't Summarize Values
Click Set Summary Option
Try setting the Summary Option to Distinct Count

You may need to play around with the options in the Data section. Let me know if you have any questions. If I can't help then you may need to re-post.

I have same situation on my report as Brianna.

A report on Change Management. each change record is associated with 3 approver names and their decision. I group the report by change ID to avoid each change record show 3 times with 3 different approver name.

but my problem is that I could not get a correct record number. the record nubmer shows up as 1, 4, 7, 10, 13,.....so it still counts the same change record 3 times even it shows up once.

could anybody help on this?

The Running Total worked for BriannaH although she had to change which group was being calculated. Did you try the Running Total? The instructions are above and start with, Try this...

I do have Total Number correctly. But I need record number for each change record as this:

1 changeid
2 changeid
3 changeid

I need a little more detail. Is the Total Number at each Group and at the end of the report? How did you calculate the Total Number? What does the Total Number show now? Do you want to keep what it shows now and add 1 Change ID, 2 Change ID, etc or do you want to replace what you have now for what you listed above?

i would like to put a serial record number on each change record as 1, 2, 3....
1 changeid....
2 changeid...
3 changeid...

right now it shows up as 1, 4, 7, 10, 13,.....by just adding record number from field explorer.

1 changeid...
4 changeid...
7 changeid...

so it still counts the same change record 3 times even it shows up once.

I calculate the Total Change Number by two formulars as the following. it is a correct.

formular #of change:
Truncate({_CHANGE_.SEQUENCE})
formular totalcount:
DistinctCount ({@# of Change})

i hope i describle the problem clearly.

I've had the same problem even with the distinct count too. Try using the Running Total, you can still use your formula's in there if necessary.

Open Field Explorer
Running Total Fields
New
Enter a name for the running total
Enter Change ID in the Field to Summarize
Enter Distinct Count in the Type of Summary
Evaluate on Change of Group
Reset Never
OK
