Callpilot voicemail (how to document)

Here is an idiot's guide to using voicemail i created yesterday, (feel free to use it yourselves). Note that it may not have some things you require in your organisation, but it suits mine.





LOGIN TO VOICEMAIL FROM YOUR DESK

Pick up handset
Dial **** or press MESSAGE key
Press # key
Enter your password then # key


LOGIN TO YOUR VOICEMAIL FROM ANOTHER DESK

Pick up handset
Dial **** or press MESSAGE key
Enter your extension number, then press # key
Enter your password then # key


LOGIN TO VOICEMAIL FROM HOME/OUTSIDE THE BUILDING

Step 1
Before you leave the office, transfer all calls to voicemail ….
Without lifting your handset press Forward key
Dial ****
Press Forward key again

Step 2
When out of the office ….
Ring your number (i.e. 01963 28****)
When your greeting starts, press 81 on your phone
Enter your extension number, then press # key
Enter your password then # key

Step 3
When back in the office, stop transfer of calls to voicemail ….
Press Forward key


CREATING YOUR PERSONAL GREETING

Log into your voicemail
Press 82 and enter one of the following:
1 – For External Greeting
2 – For Internal Greeting

If you would like to have the same greeting for both External and Internal calls, just record an External Greeting.

Press -
5 – to begin recording, after recording press # sign
2 – to playback
76 – to delete
# – to approve
4 – to exit (to go back to main menu)

MANAGING MESSAGES

When the red light on your phone light’s up it means you have a message,
To listen to the message log into your voicemail then press 2 then,

76 – Delete (76 is also used to undelete during current session)
72 – To Play Envelope
6 – Next Message
4 – Previous Message
86 – Enter message number and # sign for specific Message
9 – Call Sender
71 – Reply to Sender
73 – Forwarding a Message


RECORD YOUR NAME

Log into your voicemail
Press 89
Press 5, wait for tone
Record name, press # sign
Press 2 to listen to name


COMPOSING A MESSAGE

You can send a voice message to any phone extension in the building even if the extension does not
Have voicemail.

Log into your voicemail
Press 75
Enter extension number(s) and # between each extension
Press # and Press,
5– To record then # sign to approve or save
2– To playback
79– To send
76– To delete
# – To approve
4 – To exit (or go back to main menu)


TAGGING OPTIONS

After Recording a message the user can tag the message
By pressing:

1 – Urgent
4 – Private
5 – Acknowledge
6 – Timed Delivery
79 – To send
