Busy no Answer - RingBack when Free

I recently purchased the IP500 with 5410 and 5420 phones. I was told that there is a way to setup the phone so that if one extension calls another and the call recipiet is on another call already, the display of the caller will let them know that the party they are trying to call is already on a call. this would then prompt them to either hang up, or set the ringback free using the button I've programmed. I cannot figure out how to get the notification to work. Right now they would call and get the user's voicemail after 4 rings which means they'd have to hang up, and call back to set the ringback free. this doesn't makea lot of sense. Any suggestions or instructions?
 
Create a ShortCode.

Code: 5 (or anything you like)
Feat: Ringback When Free
TelN: (leave Empty)

Now when you call a User, and the user is not answering hang up and press 5 (or what ever). This does not work when you hear a busy tone.

Or

Code: *71*N# (or *71XXX also should work)
Feat: Ringback When Free
TelN: N

Then you need to enter the internal number so:

When you dial 101 after you hang up press *71*101# (or *71101 could work)

This sounds good. However, is there any way that the caller can be notified while the phone is ringing to the recipient that the recipient is currently on a call? With the method you described, you have to let the phone ring until the voicemail picks up before you realize they are not available or on another call. If the display were to tell you as soon as you start to make the call that the user is on another call, then you could use the ringback feature right away and hang up.

We are coming from an old Norstar system, the 8x24, that does this and it was fairly common for us to use this feature.
 
Do you have VMPro?

If so then you can make a filter on internal/external, external goes to the VMbox and internal goes to a disconect.
Turn off call waiting.

Otherwise give them 2 CA keys instead of 3, turn off callwaiting and tick "reserve last CA"

I do not have Voicemail Pro. I have the embedded voicemail.
If I give them 2 CA keys instead of 3, turn off callwaiting and tick "reserve last CA", the call goes right to voicemail after 1 ring if I turn voicemail off (just for testing purposes) the line comes up as busy. However, the recipient doe not know they are trying to be reached.

What I'm trying to accomplish is for the recipient to still see the call coming in on their second CA so they know they are trying to be reached but also for the caller to know the recipient is on the phone that way they can decide to stop calling them or put the line on callback when free.

You want the best of both worlds.... In that you want a busy tone, but the call to be answerable!

IP Office has ways of showing you someone's availability.
1) a user key on a system phone
2) BLF icons on phone manager

You cannot do this without one of those

Then user buttons on the handsets would be needed or Phone manager with speeddials :)

Our old Norstar system does this without a problem and I was told by the Avaya reseller that IP Office could do it as well. If I'm on the phone on my old system, the phone will ring when someone is trying to reach me and I can look at the display to see who is trying to call me. Meanwhile, the person trying to reach me sees "On another call" on their display with a "Later" button. When they press "later" it gives them the option "Ring Again?" "Yes, No, Exit". So, I'm trying to reproduce, some variation of this feature.

Indeed, you may have lost that feature but you have gained far more overall :)

At the very least, is there a way to shut voicemail off for internal calls (Embedded Voicemail)? That way the line will just ring?
 
No not with embedded

You would be able to if you had VMpro

you could try in user forward options - forward to number #ExtNumber (#XXX being VoicemailCollect feature code) on busy or no answer but disable for internal calls.

so when you ring the extension, you get busy you get the option for "Call Waiting" or "Ring Back" on the screen of the calling phone. Don't know if the CAll Waiting will work however, as you have to do as the guys said above, disable CW, Reserve last CA. But Ring Back (AKA Call Back) will work.

I was hoping that Avaya would have this feature by now. We have a checklist to tell our Nortel clients who upgrade to IPO about some Nortel features that they lose. The "On a Call" feature is the hardest to break the news about since it seems so simple.

We had to upgrade sets to 4424s at a couple of sites for BLFs back in the 1.3 days when our sales team wasn't as knowledgeable about the features and promised that functionality.
 
Send in an NFR about it, they can only say no, that and huntgroup fallback being more flexible like incoming call route destination tab, they will make the system ace :)

@riddle, yes it is slow sometimes !
@StatusCue, you really need voicemail pro to make it work a bit like the way the Nortel works!

With vmpro you can split up behaviour for internal and external calls.

If you use a user button to dial some one, who is busy, you see that he is busy and get an option to leave a message.

@amriddle - yep, hence the stutter.

always a problem on my sites too, but if you are aware of it and let the customer know before hand then you avoid problems to some degree
