Best method to set up Directory Search in Samsung 7200s

Can anyone describe the right way to use the Automated Directory name search in the Samsung 7200s system?
Such as, where to put the name to be used (in the OfficeServ Device Manager software).
Or is it better to only use the Administrative options via the phone?

We are currently using last name, but sometimes this name reverts to the default extension number.

The extension name in 2.4.2 or mmc 104 is where you add internal extension names, 4.4.0 or mmc 705 is external speed dial entries.
 
Sorry, guess I should have specified, we are currently using last name in the VMAA block, specifically in 8.4 Subscriber List, to have a searchable last name.
We also have the extension name in 2.4.2 - which we have set to the person's first name (as this is what they see at their desk).
The extension name in 2.4.2 does not appear to be searchable in the Automated Attendant, but the entry in 8.4 does. As long as the person has a name set up in their voicemail account
(via personal administration).
The problem we have had is that the name in 8.4 is sometimes reverting (in random time periods) to the original mailbox name, which is the original extension name - such as 1110.
