I have the output option on two reports set to output to a shared folder on our company network XML format. IT is now requesting I allow them access to the database so they can extract the data instead. Does anyone have experience with this or is it something that should not be done?

if they do this, they will only get raw database information. They would have to be able to use something like crystal reports to make it readable. Look at the Reporting documentation. there will be a section on custom reporting and how to access the database, and what logins/passwords you will need to provide them.

how could that be better than getting the data from the shared folder? what i have read in the documentation has no reference to this procedure.

That was what I was wondering when I first read your post. We have a college the uses a shared folder for the IT depart. to get call costing reports but they work with the comm. depart. On the other hand I have customers that the IT guys and Comm guys don't really get along.

My guess is they want to get in and pull the information and create some type of custom view. Maybe there is information in the canned report they don't want, or if they can pull the information into a spreadsheet they can manipulate it. No telling. In the Data Dictionary you can pull your information. I do not know specifically wnat the database name is when doing this, but I have pulled information like this before. Personally I feel uncomfortable letting people do this because I have seen manipulated data in reports and sooner ro later they will come to you and ask you "Why is it like this?" Avaya Prof Services can do this, but it's pricy.

Maybe someone is learning Crystal Reports and justs wants to tool around, but pulling data from the system like this is a resource and memory hog. if they do this during peak times, walk up slowly behind them and give them a good NCIS smack on the head and walk away. You should only extract information this way during off-peak hours.
