What is the danger in deleting items in Aloha? 1

So my restaurant just finished their major Aloha replacement this Monday.

Brand new server, all new terminals. All shiny and not so chrome ;)

Our original Aloha server was inherited and filled with garbage data.

Our vendor didn't do exactly as we asked when we said we wanted to start from scratch and it seems they merged our old item list (including comps, void reasons, etc.) with the new list we provided.

I am really trying to move this operation into the 21st century and reduce the difficulty in designing reports/menus etc. So I want our database to be as well designed as possible.

Thanks to the new Aloha I can see that its much easier to view and manipulate large tables.

My question is, if I start deleting the old items, including old comp reasons, will this adversely affect anything? Will I still be able to run reports from the past? Comparables? etc?

Note that we might not mind, my managers are ok with creating essentially a new start date for our reporting. I just want to be as informed as possible of the consequences of these acts.

So here is the danger. You delete something you thought you were not using and you actually were and it was rung in already. When you refresh you will have created a trans.log issue. so just be careful.

If you are sure those items are no longer being used, then here are the proper steps
make sure items are not still on modifier screens or sub menus, remove if they are. remvie items from all sales and non sales categories, Then delete the items.

Previous days reports will not be effected.

As for comps, same thing make sure the comp has not been used today. if not go ahead and delete. IF you ere to run a sales report older days will still have comps listed. The challange is this. example comp 10009 is manager full comp. and was used ofter up to last month. If you create a new comp with that number in the future, that is an item comp, when you run a quarter end or yeartly report the dollar amount of comp 10009 will be a combination of both the older full comp and the newer single item comp.

I recommend instead of deleting old comps, just make then as not active. This way in the future you can always return to them if you want.

I didn't know about comps being set as inactive but I will look into that.

Can items be set as inactive?
 
you can remove items from submenus and that makes them almost inactive. If you still had item lookup enabled on FOH they could still be used.
