Voicemail pro Auto Attendant question 3

Hi All,

I want to have an Auto Attendant at a client to be able to do the following , when their clients call them.

If a client calls they will hear the language menu option, for example if they choose option 2, they will hear the Dutch menu say ing the following.

If you know your parties extension please dial it now, after 3 seconds silence in the timeout, they will continue to here the following
Press 1 for Consular
Press 2 for receptionist
Press 0 to repeat menu.
This message will play in using the time profile open from 8am to 5 pm.

The thing is the Consular should only take calls between 2pm and 4pm, after that they are closed for incoming calls and they will hear a message that they are closed.

I have created a part of this scenario in voicemail pro, but not sure on how I can have the option 2 play the message that they are closed at certain hours.
Should I create a new call flow for the Option 1 to play the message in the voicemail pro by using the time profile?

Use the condition editor and set day / time
Use test condition to check day / time is true

Place this after option 2

If false set it to a generic module with a recording to say its closed
You can then loop it back to the start again.

What is the range of extension numbers? From your example call flow, I might guess 100~199?

Think about the flow - "If you know your party's extension dial it now" and a 3 second opportunity to do so, otherwise continue with 1 for Consular, 2 for Reception, and 0 to repeat. Wouldn't it really be all combined "If you know your party's extension you may dial it at any time, or press 1 for the Consular or 2 for Reception. Press 0 to repeat your choices"?

If the Consular is only available from 2 to 4, should option 1 even be available outside of those hours? Or if the caller presses 1 outside of Consular hours, and then hears a message that they are closed, what should happen next - where should the call go from there?

If the extension numbers start with the same digit as one of your choices, you need to use a 2nd menu to distinguish the caller pressing 1 for the Consular and 123 for Ext. 123.

You can use a Week Planner to set the Consular hours, and utilize it in 2 different ways.

After the caller selects the language, and a Test Condition of the Consular Hours is true, send the call to a menu with the options for the Consular, Reception, and direct extension numbers. If the Test is False, send the caller to a menu with options for Reception and direct extension numbers, and include Consular hours in the recording.

OR, after pressing 1 for Consular, test the Consular Hours, if True transfer the call, if False use a Generic action to play a recording stating the hours, and then send the call elsewhere

Sorry for the late reply.

The extensions start with 1 which will cause issue with option 1 correct?
I created the second menu which contains the timeout and the ?? for the extension options.
Once the client choose 1 for consulaire they will hear the message that they are closed and the call is suppose to hang up.

Option 2 is reception only and option 0 is to repeat menu.

I was thinking I will have them record the message say, first if you know your parties extension please dial it now with a pause of 3 seconds and then continue saying press 1 for consulaire, pres 2 for reception and press 0 to repeat menu.

Once the timeout is over and the press 1, the condition of True which has the week planner from 2pm to 4pm will go to consulaire and for false which also has week planner from from 1am to 1:59pm and also a another week planner from 4:01 pm to 11:59pm will go to consulaire, but in the consulaire connected to false I have a message recorded say that they are closed and should hang up.

Would something like this work?

Yes ...but the second time condition is not required.
You only need the 1 week planer 2-4pm which will be TRUE.
any other condition is FALSE

Send the FALSE to a generic action and record a message to state the opening hours and disconnect if required.

I made the changes and it works.
But I have a just one more question, is it possible that when the consulaire ( on the false condition) plays the message, that you can press 0 to repeat the message again, for the false condition only.

Put a menu action in.
Just use 0 for repeat


You know you can copy the module to another new module
Create a short code for it for testing.
Then play and amend it to try things out.
 
Ok, I will add the menu action to it.

A question if I remove the consulaire (false condition) and put the menu action in it place, how can I copy the recording of the consulaire in the menu action module?
 
In recording Use the drop down menu and browse to the recording.

This is the same for any recording you want to use — reuse

Hi all,

Something strange is going with the setting when it is suppose to allow calls to go through at 9am to 12pm and 2pm to 4pm

It seems that the closed message keeps playing even though in the condition, I added in True calls go to consularie 9am to 12pm and 2pm to 4pm, the closed message keeps playing.
I used 2 week planners for the hours of 9am to 12 pm an 2 pm to 4pm, in true condition, in false I left it empty.

Might you have an idea, why it is happening?

Show us your Condition that combines a Week Planner for 9-12 AND 2-4, or use 2 separate Conditions and test each individually.

I would run a hundred miles from naming the conditions True and False. It wouldn't surprise me at all that using those names for conditions could lead to issues.

In TouchToneTommy's example he's separately tested for the morning condition and then for the afternoon, I suspect using two separate conditions.

Put the two week planners into two separate conditions called something like "Morning" and "Afternoon" respectively and then test them separately with two Test Condition actions. Much easier to follow the logic, test the logic and to maintain.

Stuck in a never ending cycle of file copying.
