We have the following issues and would highly appreciate if you help to resolve these.

1. How to handle duplicate names in the system directory? Now,the caller dials *2 and system directory ask to dial the four letters of the person and transfer to the required extension. Some employees have duplicate names. How can we distinguish them?

2. If the caller dials "0" it transfers to the operator. If the operator is not present then it goes to his personal voice-mail. We want it to ring to another extension after 4 rings if the operator doesn't answer it. How can we do it?

3. We also want to give caller options like dial "1" for customer service, dial "2" for purchasing etc. if the caller press "1" then it should transfer to certain extension e.g. want to assign 1 to extension 7206, 2 to extension 7210 etc.
 
I want to add one more thing that we have 6 analog lines and no T1 line.
 
I have sorted out for the 1 question about duplicate enteries but still need your help for other 2 questions.
 
#2 Put a "delayed ring" cover button for the Operator's phone on the extention that will cover. If you use a "delayed" ring cover button - then you will have to change the Transfer Return rings from the default of 4 to 6 or so under both Options and Auxiliary Equip, VMS/AA.

#3 - you need to go into autoattendant programming and program the selector codes (button presses) to route the call where you want. The 1st 4 selector codes are pre-set to "Direct Ext Transfer". You will need to make selector code 7 to that (since your ext numbers are in the 7000 range).

I have done the 3rd point using selector codes as per your instructions but don't know how to do the 2nd point regarding cover delay. I am a data guy so can you please write it step by step. I will highly appreciate it.
 
Go to the phone that will cover the operator. Press Menu, Prog - touch a button that display's as "Blank" - press List - use the More key to scroll to the word Cover - press Cover, press Primary and enter - keyin the Operator ext# and press enter.

Touch the previously "blank" button again - and will now display as "Primary Cover 100-I" (if ext 100 is Operator) - now to make that Cover Button Delayed ring - press List - scroll using More to RngOp - press RingOP - press 1 line and enter - and press Delayed Ring and enter.

Touch the button again to confirm programming - and it should display as "Primary Cover 100-D" - the D means delayed ring. Press Home to exit.

To reset Transfer Returns - under system program, start, press Auxiliary Equipment, Press VMS/AA, press Transfer Return, change the rings from 4 to 6 and press enter. Pres back, back - under Options, press Transfer, Return Time - and change the 4 rings to 6 - then exit out.

Once the caller dials *2 then he gets the system prompt in the directory where it says "Please enter the first 4 letters of the person you are looking for....". Can we change this prompt because my company wants me to change it?
 
Sorry - no - you cannot change that pre-recorded greeting. So - you need to spell out in YOUR autoattendant greeting whether they dial the 1st 4 letters of the FIRST or LAST name. A tyical sentence in the greeting goes like this: Yhank you for calling XYZ Company. If you know your party's extention, you may dial it at any time. To dial by Name (or Employee Directory), press *2, and, when prompted, enter up to the 1st 4 letters of your party's FIRST (or last) name. Otherwise, please press 0 or stay on the line to reach our Operator".
